As our practice continues to expand, we are seeking an experienced and highly organized Front Desk Manager to lead our administrative operations and serve as a key member of our leadership team.
Position Overview
The Front Desk Manager serves as the operational leader of the front office and is responsible for ensuring a seamless patient experience from check-in through checkout. This individual will oversee front desk staff, coordinate patient scheduling and communications, manage insurance eligibility verification processes, and maintain efficient workflow in a fast-paced, high-volume medical environment.
This role requires strong leadership skills, exceptional attention to detail, the ability to multitask under pressure, and a commitment to delivering outstanding customer service.
Key Responsibilities
- Supervise, train, mentor, and manage front desk team members.
- Establish and maintain high standards of professionalism, customer service, and patient satisfaction.
- Monitor staff performance and provide ongoing coaching and development.
- Assist with hiring, onboarding, and training new administrative personnel.
- Create and maintain front desk schedules to ensure adequate staffing coverage.
Patient Operations
- Oversee patient check-in and check-out processes.
- Ensure accurate demographic, insurance, and patient information collection.
- Address patient concerns and resolve escalated service issues professionally and efficiently.
- Maintain a welcoming, organized, and professional reception environment.
- Ensure compliance with HIPAA and patient confidentiality requirements.
Insurance & Eligibility Management
- Verify patient insurance eligibility and benefits prior to appointments.
- Review coverage, authorizations, referrals, and payer requirements.
- Identify and resolve eligibility issues before patient visits.
- Coordinate with billing and clinical teams regarding insurance-related concerns.
- Assist patients in understanding financial responsibility, copayments, deductibles, and non-covered services.
High-Volume Practice Coordination
- Manage daily front office operations in a fast-paced healthcare environment.
- Coordinate communication between patients, physicians, medical assistants, specialists, hospitals, facilities, and ancillary providers.
- Monitor appointment flow and address scheduling bottlenecks.
- Support multiple service lines including Primary Care, Podiatry, Preventive Medicine, and Wellness Programs.
- Ensure timely processing of patient requests, referrals, records, and administrative documentation.
Administrative Operations
- Maintain scheduling accuracy and optimize provider calendars.
- Monitor patient wait times and improve workflow efficiency.
- Prepare operational reports and assist management with performance metrics.
- Ensure proper handling of incoming calls, patient messages, and electronic communications.
- Assist with implementation and adherence to office policies and procedures.
Qualifications
Required
- Minimum 2 years of medical front office experience.
- Minimum 1 year of supervisory or management experience.
- Strong knowledge of medical insurance verification and eligibility processes.
- Experience working with electronic medical record (EMR/EHR) systems.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to remain calm and professional in high-pressure situations.
- Proficiency with Microsoft Office and general computer systems.
Preferred
- Experience in Primary Care, Specialty Care, or Multi-Specialty Medical Practices.
- Familiarity with Medicare, PPO, HMO, and managed care plans.
- Experience managing front office teams of 3 or more employees.
- Bilingual English/Spanish is a plus.
