Job Description

Reports To: Front Desk Supervisor/Front Office Manager

Supervises: None

General Purpose: With the goal of providing a superior experience, the Front Desk Agent is the face and voice of 21c, involved in all aspects of the guest experience. Responsible for knowing all property services and amenities, welcoming guests, checking guests in and out, and coordinating guest experience prior to arrival.

Specific Responsibilities:

  • Respond professionally and courteously to arriving, departing, and in-house guests, providing accurate and timely information and services.
  • Greet guests and complete check-in procedures using manual and computerized methods to ensure guest satisfaction.
  • Facilitate guest departure by following established procedures to close guest accounts and prepare rooms for next guests.
  • Calculate and post monies, receipts, and guest accounts accurately to maintain hotel records.
  • Answer inquiries and accept reservations in person and by phone, communicating hotel rates and using suggestive selling techniques.
  • Maintain good customer relations by staying informed about hotel and area functions.
  • Handle incoming and outgoing calls, schedule wake-up calls, and assist guests promptly.
  • Control cash transactions and maintain responsibility for personal bank.
  • Maintain a friendly and courteous demeanor at all times.
  • Process guest mail, messages, and faxes accurately and timely.
  • Stay updated on gift shop merchandise, provide information, and process sales.
  • Relay art exhibition information to guests.
  • Maintain communication logs and contribute to department performance.
  • Assist other employees and perform additional duties as assigned.

Qualifications:

  • Knowledge of cash handling procedures and computerized cash register systems.
  • Fluent in English.
  • Ability to understand and follow instructions, multitask, and communicate effectively.
  • Ability to handle customer service problems tactfully, including stressful situations.
  • Highly organized with attention to detail.
  • Proficient with office equipment (telephone, copier, PC, etc.).
  • Must pass a background check.

Education:

  • High School diploma or equivalent.
