Job summary

TA Dispatch is seeking a detail-oriented Freight Audit Specialist to ensure accurate invoicing and billing across LTL operations. You will audit rates, surcharges, and related charges, collaborating with carriers and internal teams to resolve discrepancies and optimize processes.

The role requires strong Excel skills, two years of freight auditing experience, and familiarity with MercuryGate TMS. This is an in-office position in Indianapolis with standard daytime hours.

Qualifications

• Minimum of two years of freight audit or related experience.
• LTL transportation experience required.
• MercuryGate TMS experience strongly preferred.
• Proficient in Microsoft Excel for data analysis.
• Knowledge of freight rates, fuel surcharges, tariffs, and shipping documents.

Responsibilities

• Audit freight invoices for rate accuracy and discrepancies by comparing to rate confirmations and contracts.
• Research and resolve billing discrepancies with carriers and internal teams.
• Monitor carrier portals, reconcile statements and aging invoices; ensure timely processing.
• Prepare reports on freight audit performance and identify process improvements.
• Support month-end accounting inquiries while ensuring policy and regulatory compliance.

Job description

Key Responsibilities

• Audit freight invoices for rate accuracy, duplicate charges, fuel surcharges, accessorial fees, mileage, and other billing discrepancies by comparing invoices to rate confirmations, carrier contracts, bills of lading, proof of delivery, tariffs, and Transportation Management System (TMS) records.
• Research and resolve billing discrepancies, including overcharges, undercharges, missing documentation, disputed charges, credits, rebills, and payment adjustments by collaborating with carriers and internal departments.
• Monitor carrier portals, reconcile carrier statements, review aging invoices, and maintain accurate audit documentation to ensure timely invoice processing and payment accuracy.
• Prepare reports on freight audit performance, including invoice volume, dispute trends, recovered costs, processing accuracy, and recurring billing issues while recommending process improvements to reduce errors and unnecessary costs.
• Support month‑end accounting activities by responding to inquiries from accounting, operations, and leadership while ensuring compliance with company policies, customer requirements, and applicable transportation regulations.

Work Environment

• Office‑based work environment with frequent interaction between Accounting, Operations, and external carrier partners.
• Daily use of MercuryGate Transportation Management System (TMS), Microsoft Excel, and other business applications.
• Fast‑paced environment requiring attention to detail, accuracy, and the ability to manage multiple priorities while meeting deadlines.

Days and Shift Information

• Monday – Friday
• 8:00 a.m. – 5:00 p.m.
• This is a full‑time, in‑office position. Remote or work‑from‑home options are not available.

Qualifications

Education

• High school diploma, GED, or equivalent required.
• Associate or bachelor's degree in Accounting, Finance, Supply Chain, Logistics, or a related field is preferred but not required.

Experience

• Minimum of two (2) years of experience in freight audit, transportation billing, logistics, accounts payable, or a related field.
• Required- Previous Less‑Than‑Truckload (LTL) transportation experience. Experience should include transportation operations, billing, auditing, or logistics—not solely dock operations.
• Experience with MercuryGate TMS is strongly preferred.
• Working knowledge of freight rates, fuel surcharges, accessorial charges, carrier contracts, tariffs, rate tables, EDI transactions, and common shipping documentation.
• Experience with truckload, intermodal, parcel, or multimodal transportation is preferred.
• Proficient in Microsoft Excel, including sorting, filtering, formulas, and data comparison.
• Experience creating reports, analyzing freight spend, and utilizing transportation management or enterprise accounting systems preferred.

Additional Information

Pay/Benefits/Perks

• $52,000–$55,000 per year
• Accrue up to five days PTO in first year. Two-week vacation, plus one week PTO accrue on first anniversary.
