Job summary

Visit.org is seeking an experienced Freelance Event Specialist to manage on-site logistics for in-person events in Brookhaven, NY. This contract role requires you to be based in Brookhaven and available for per-event engagements, including nights and weekends, with travel within the local region.

You will coordinate materials, staffing, setup, check-in, and post-event wrap-up focused on delivering a high-quality guest experience.

Qualifications

• Experience in coordinating complex, large-scale events and smaller executive-level events.
• Based in Brookhaven, NY and willing to travel within the local region.
• Fluency in English and strong communication skills.

Responsibilities

• Coordinate event details, shipping materials, and staffing for each event.
• Be on-site hands-on to setup, manage check-in, and ensure high-quality guest experience.
• Troubleshoot issues (missing supplies, late staff, tech challenges) and escalate when needed.
• Provide updates, photos, and post-event breakdown, packing and shipping materials back.
