Job summary

The IRONMAN Foundation is seeking an enthusiastic Operations Specialist to join the Tampa team, supporting systems, processes and administrative functions that enable the nonprofit to fulfill its mission. You will help coordinate across finance, compliance, data management, grants, and office operations.

Qualifications

• Bachelor’s degree in Business Administration, Nonprofit Management, Public Administration, Finance, Communications, or a related field.
• 2-5 years’ experience in operations, nonprofit administration, project management, finance, or business support functions.
• String proficiency in Microsoft Office Suite (Excel, Outlook, Teams, PowerPoint, Word).
• Exceptional communication skills across multiple environments and with diverse audiences.
• Based out of Tampa, FL. Required to be in Tampa offices for a minimum of three (3) days a week; travel 5-10%.

Responsibilities

• Organizational Operations & Administration: Provide administrative support to leadership and staff; coordinate day-to-day operations; schedule meetings and prepare agendas; manage office operations and inventory; assist in implementing operational systems and workflows.
• Financial & Compliance Administration: Support donation processing, expense tracking, reporting, record management; assist with audits, regulatory filings; maintain accurate records; help prepare financial/operational reports.
• Program Operations & Project Management: Support implementation and administration of programs, grants, development projects; coordinate cross-functional initiatives; maintain timelines and reporting; coordinate meetings and events.
• Data Management & Reporting: Manage databases and systems; generate recurring reports and dashboards; maintain historical records; ensure data integrity.
