Position Summary

The Food & Beverage Controller is responsible for overseeing the financial performance, reporting, and internal controls of food and beverage operations across assigned homeowner association (HOA) communities and amenity facilities. This position plays a critical role in ensuring financial accuracy, cost control, budget compliance, and operational efficiency across restaurants, bars, cafés, catering, banquet services, and other community dining venues.

Working closely with General Managers, Food & Beverage Directors, Executive Chefs, Community Association Managers, and corporate finance leadership, the Food & Beverage Controller monitors revenue, expenses, inventory, labor costs, purchasing, and profitability while ensuring that financial practices align with company policies, approved budgets, and community association requirements.

The ideal candidate has a strong background in hospitality accounting or food and beverage financial management, preferably within HOA, country club, private club, resort, or community association management environments. This individual understands the unique financial considerations of amenity-driven residential communities, including association budgets, resident dining operations, and the importance of maintaining financial transparency and accountability. Working knowledge of hospitality POS systems, such as Toast, is preferred.

Essential Duties and Responsibilities
  • Oversee financial reporting and accounting functions for food and beverage operations across assigned communities.
  • Prepare and analyze monthly profit and loss statements, balance sheets, revenue reports, and operational financial summaries.
  • Monitor revenue, expenses, gross profit margins, and operating performance against established budgets and forecasts.
  • Reconcile food and beverage sales, point-of-sale (POS) transactions, credit card settlements, daily deposits, and general ledger accounts.
  • Review POS reports to verify sales activity, discounts, voids, refunds, complimentary items, and other transaction adjustments.
  • Review financial records for accuracy, completeness, and compliance with established accounting procedures.
  • Identify financial discrepancies, unusual spending patterns, and opportunities to improve operational performance.
  • Assist with month-end and year-end closing processes, financial audits, and reporting requirements.
Budgeting & Cost Control
  • Assist in developing annual food and beverage operating budgets and periodic financial forecasts.
  • Monitor food costs, beverage costs, labor expenses, and other controllable operating costs.
  • Analyze cost of goods sold (COGS), gross profit margins, labor cost percentages, and departmental performance.
  • Establish and monitor financial benchmarks to evaluate the performance of individual venues and communities.
  • Partner with operational leaders to identify cost‑saving opportunities without compromising service quality or resident satisfaction.
  • Review expenditures, vendor invoices, purchase orders, and expense allocations for accuracy and proper authorization.
  • Investigate budget variances and work with management to develop corrective action plans.
  • Utilize POS and financial reporting data to identify sales trends, revenue opportunities, and areas of unnecessary expense.
Inventory & Purchasing Controls
  • Oversee inventory control procedures for food, beverage, liquor, supplies, and other operational assets.
  • Review inventory counts, usage reports, waste, spoilage, transfers, and adjustments for accuracy.
  • Implement and monitor procedures to reduce shrinkage, prevent unauthorized usage, and minimize unnecessary purchasing.
  • Review vendor pricing, purchasing trends, invoice discrepancies, and supplier contracts as appropriate.
  • Ensure purchasing, receiving, and invoice approval procedures are followed consistently across assigned properties.
  • Conduct periodic inventory audits and investigate significant variances.
  • Compare inventory usage and purchasing activity against POS sales data to identify discrepancies and potential losses.
HOA & Community Association Financial Oversight
  • Support financial accountability for food and beverage operations within HOA‑managed communities, private clubs, and residential amenity facilities.
  • Understand the distinction between association‑funded expenses, resident charges, and revenue generated by food and beverage operations.
  • Review expense allocations, interdepartmental charges, and financial reporting to ensure costs are assigned appropriately.
  • Partner with Community Association Managers, General Managers, and corporate accounting teams to support accurate budgeting and financial reporting.
  • Help ensure food and beverage financial practices align with approved budgets, company policies, management agreements, and applicable association requirements.
  • Provide financial information and supporting documentation for management reviews, board reporting, and other authorized requests.
  • Recognize the unique operational considerations of resident‑focused amenities, including subsidized services, minimum spending requirements where applicable, and the financial impact of seasonal fluctuations.
Internal Controls & Compliance
  • Develop, implement, and maintain internal controls designed to safeguard company and association assets.
  • Review cash‑handling procedures, POS controls, discounts, voids, refunds, complimentary items, employee meals, and cash deposits.
  • Ensure appropriate segregation of duties and authorization procedures are maintained.
  • Support internal and external audits and ensure financial documentation is organized and readily available.
  • Identify control weaknesses and recommend improvements to reduce financial risk.
  • Maintain confidentiality of financial information and comply with applicable accounting standards, company policies, and relevant regulatory requirements.
Operational Partnership & Performance Improvement
  • Collaborate with General Managers, Food & Beverage Directors, Executive Chefs, and community management teams to improve financial performance.
  • Provide actionable financial analysis and recommendations to operational leadership.
  • Monitor key performance indicators, including food cost percentage, beverage cost percentage, labor cost percentage, average check, sales trends, inventory turnover, and operating margins.

  • Experience preparing and analyzing budgets, financial statements, forecasts, and operational reports.
  • Proficiency with Microsoft Excel and accounting or financial reporting systems.
  • Working knowledge of food and beverage point‑of‑sale (POS) systems, such as Toast, preferred.
  • Experience reconciling POS sales, discounts, voids, refunds, credit card transactions, and daily deposits.
  • Ability to utilize POS reporting tools to analyze sales trends, revenue, transaction activity, and operational performance.
  • Experience with hospitality inventory management software preferred.
  • Strong understanding of cash controls, reconciliations, expense allocations, and internal audit procedures.
  • Ability to interpret financial data and communicate findings to both finance and operations professionals.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple priorities across different properties.
  • Strong analytical, problem‑solving, communication, and interpersonal skills.
  • Ability to work independently while collaborating effectively with onsite and corporate leadership.
  • Ability to travel between assigned communities when required.
Preferred Experience
  • Experience overseeing financial controls for multiple restaurants, bars, clubs, or amenity operations.
  • Familiarity with HOA operating budgets, association financial reporting, and the separation of association and business operating expenses.
  • Experience working with Community Association Managers, regional managers, General Managers, and corporate accounting teams.
