Summary of Primary Function/General Purpose of Position

Reports to the Business Operations Manager and is responsible for front office functions at the OP Rehab locations. Tasks include patient greetings, check-in/out, POS collections, initial and follow-up scheduling, and customer service. Responsible for scheduling a variety of rehab patients in a computer-based system, patient charge reconciliation, managing payer restrictions, and clerical support for the therapy department, including organization and sanitation of the waiting room and front office space.

Essential Job Functions
  1. Accurately schedule rehab services using EMR/Epic, considering all relevant factors.
  2. Monitor department work queues and contact referred patients within 24-48 hours. Provide support across rehab departments as needed.
  3. Check daily rehab schedules to ensure charges are properly accounted for.
  4. Obtain and verify physician orders, patient demographics, insurance information, and medical necessity for therapy services.
  5. Maintain strong communication skills, functioning as the communication hub for the therapy department. Respond to patient messages within 24 hours.
  6. Verify charge accuracy through reconciliation processes in EMR/Epic.
  7. Maintain therapist schedules, ensuring accuracy and managing cancellations.
  8. Provide excellent customer service and remain calm under stress.
  9. Collect POS payments and manage the cash drawer.
  10. Track payer restrictions, including visit limits, financial caps, and procedure allowances, ensuring compliance.
  11. Keep the front office and waiting area organized and clean.
  12. Perform additional tasks as delegated by the supervisor or market leaders.
Employment Qualifications
Required Minimum Education:

High School Diploma or GED

Preferred Education:

2-Year/Associate's Degree, preferably healthcare-related

Minimum Qualifications:

1 year of relevant experience

Required Skills and Abilities:

Formal secretarial and computer training

Preferred Skills and Abilities:

Experience with medical terminology

Combination of post-secondary education and experience may substitute for a degree.
