Job summary

Cox Fleet is seeking a Service Writer II to support on-site fleet maintenance operations nationwide. The role involves handling customer inquiries, preparing cost estimates, and managing repair orders with technicians and service centers.

You will communicate updates to customers and ensure accurate documentation and billing alignment. Candidates should have a HS diploma or GED with several years of related experience, strong communication skills, and familiarity with Karmak/RO Writer tools.

Qualifications

• High School Diploma or GED required, 3–5 years in related field.
• Strong communication (verbal & written) and customer service skills.
• Familiar with Karmak, ADP, Reynold, RO Writer or similar programs.
• Proficient in Windows OS and Office suite; able to learn DFS IT systems.

Responsibilities

• Answer phones and assist customers with vehicle repairs and maintenance requests; provide cost estimates and timelines.
• Create estimates aligned with customer needs, cost, quality, and lead time.
• Communicate repair status with customers via email, fax or phone; obtain approvals and discuss billing items.
• Review repair orders for accuracy, describe symptoms and repairs, and enter RO into service db.
• Manage the transaction lifecycle from origination to customer custody of repair.
• Obtain customer approvals for all repairs and services; dispatch work to technicians.
• Coordinate with technicians, sales, and customers to ensure excellent service and minimize costs.
• Document activities in DFS systems accurately for each vehicle repair.
