Kwik Trip, Inc. in Wisconsin is seeking an Administrative Support professional for the Truck Shop to handle reactive and preventative maintenance tasks, supervise mechanics, and coordinate with the Parts Department.

You will manage customer requests, greet customers, answer calls, and maintain effective communication across departments, ensuring timely action and high service levels in a busy Fleet Services environment.

Qualifications

Responsibilities

  • Manage reactive and preventative maintenance tasks within the Truck Shop.
  • Maintain outstanding customer service while assisting with supervision of mechanics and communicating with the Parts Department.
  • Coordinate actions to meet customer needs and follow up on requests.
  • Greet customers and assist them with their needs and determine the best resolution.
  • Answer incoming customer calls and arrange appropriate responses.
  • Prioritize scheduled and unscheduled maintenance and maintain interdepartmental communications.
  • Keep equipment status and Fleet Services assets up to date.
  • Communicate with Leads, Supervisors, Dispatch, and outside vendors to align workload and repair progress.
  • Assist with daily administrative duties related to department operating systems.

Job description

This individual's responsibilities include but are not limited to: Manage reactive and preventative maintenance tasks within the Truck Shop. Maintain outstanding customer service while assisting with the supervision of mechanics, operating software programs, and communicating with our Parts Department. Successfully manage customer requests by determining the most effective means of meeting the customers need and coordinating the appropriate action(s). Greet customers and assist them with their needs by determining most effect method of resolution and handling or arranging the appropriate response. Answer incoming customer calls and assist them with their needs by determining most effect method of resolution and handling or arranging the appropriate response.

Additional responsibilities include but are not limited to:

  • Manage customer requests by determining the most effective means of meeting the customers' needs and coordinating the appropriate action(s).
  • Prioritization of both scheduled and unscheduled maintenance
  • Maintain interdepartmental communications to ensure timely staging of equipment for maintenance needs
  • Maintain equipment status' for assets in Fleet Services
  • Communicate regularly with Leads and Supervisors when changes to the daily workload occur due to outside influences
  • Communicate with Dispatch to validate their equipment needs are met
  • Communicate with outside vendors to monitor repair status' of subbed and/or warranty work
  • Assist with daily administrative duties in relation to department operating systems

Qualifications:

  • Successful candidates should possess at least 2 years in an administrative / support role or equivalent experience/education
  • Strong interpersonal skills via telephone
  • Ability to remain calm in a stressful work environment
  • Ability to process, interpret, and communicate (verbal and written) information to co-workers and customers in a professional manner
  • Accurate / detail oriented
  • Strong written and oral communication skills
  • Work well alone or as part of a team
  • Work well with minimal supervision
  • Possess strong time management / organizational skills
  • Demonstrate a high level of customer service
  • Strong ability to operate a personal computer with knowledge of Microsoft Office products
  • Possess strong typing and data entry skills and comfort with office equipment is required
  • Knowledge of transportation operations, maintenance, and DOT regulations is a plus
