The Division of Management Services is seeking a detail oriented and motivated Fleet Operation Technician - Technical Records Specialist 2 (TRS2) - to support the Department of Health and Welfare’s statewide Motor Pool fleet. This position plays a key role in ensuring the availability, functionality, and accurate tracking of vehicles used across the state. The Fleet Operation Technician will be primarily located at our Region 4 – Boise Westgate office and will support daily Motor Pool operations, data accuracy, financial processing, and administrative coordination necessary to keep the fleet running smoothly.
This position is not eligible for telework.

- Verify, update, and maintain fleet information in Fleetio and Samsara, ensuring accurate and timely data for vehicle condition, assignments, mileage, and maintenance scheduling.
- Review and process Motor Pool invoices, reconcile charges, and support timely and accurate financial transactions following state procedures.
- Provide essential administrative support to the Motor Pool Manager, including recordkeeping, scheduling, documentation, and coordination with regional offices statewide.
- Assist with daily Motor Pool operations, such as monitoring vehicle usage, responding to staff inquiries, managing documentation, and helping address fleet related issues.
- Contribute to overall fleet efficiency by supporting data integrity, workflow accuracy, and effective communication across the agency.
- Work with various vendors, repair facilities and internal customers to coordinate vehicle repairs.

- Experience monitoring record systems to identify and correct errors. Typically gained by at least one year of related experience.
- Experienceinterpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs. Typically gained by at least one year of experience which frequently required interpreting and applying a variety of difficult rules, regulations, or policies to determine compliance or eligibility and explaining decisions to others. Decisions are complex and can affect the social or economic well being of others or will result in a service or action being denied.
- Experienceanalyzing information and researching a variety of sources to identify and resolve problems or issues. Typically gained by at least one year of extensive research and analysis of highly complex or technical material requiring in-depth program knowledge in order to determine if requirements were met and if they complied with established laws and/or policies. Research must have included contacting a variety of sources both inside and outside the organization to collect, obtain, and verify information and determine the appropriate course of action.
- Experiencedealing with individuals from varying cultural and socio-economic backgrounds in stressful situations. Typically gained by at least one year experience dealing with individuals from varying cultural and socioeconomic backgrounds in stressful situations which dealt with personal, sensitive, or confidential information such as eligibility requirements, health issues, or financial matters.
- Experienceentering and retrieving data using a computerized record system. Typically gained by at least six months of experience in a work setting where it was required to enter and retrieve data in a database records system or other computer records system.
- Experiencecomposing and proofreading business correspondence. Typically gained by at least one year of office experience which required composing and proofreading a variety of business documents on a regular basis OR successful completion of at least one college-level English composition or business English class AND six months of experience composing business documents.
Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants..
- Familiarity with Fleetio, Samsara, or other fleet-management software. Typically gained with 1 year of work in fleet management software.
- Experience supporting vehicle or equipment management, transportation, or operational logistics. Typically gained with 6 months of work in fleet management.
- Strong organizational and analytical skills with a high level of accuracy. Typically gained with 1 year of work experience in project coordination.
- Ability to multitask and prioritize multiple assignments with limited supervision. Typically gained with 6 months of customer support or case management experience.
