Job summary

Grand View Lodge in Nisswa, MN is seeking a detail-oriented Vehicle Fleet Coordinator to manage operation, maintenance, and coordination of the resort fleet. You will own the full lifecycle of fleet management—from tracking usage and scheduling maintenance to making purchase recommendations and ensuring every vehicle is road-ready and properly licensed.

This hospitality role requires weekend and peak-season availability, a valid driver's license, and hands-on ability to perform minor repairs.

Qualifications

• 3 years of experience in transportation, fleet, or related operations management; preferably at a multi-site company.
• General auto mechanic knowledge and hands-on comfort with vehicle inspection and minor repairs.
• Strong attention to detail and organizational skills; you keep meticulous records and nothing slips through the cracks.
• Proficiency in Microsoft Office, with strong Excel skills for inventory tracking and scheduling; basic computer knowledge for scheduling and reporting.
• Ability to manage multiple priorities, meet deadlines, and work flexible hours as operational needs arise.
• Physical ability to lift over 50 lbs occasionally, and to stand, climb stairs, reach, and bend as needed in the course of fleet inspections and minor repairs.
• A valid driver's license with a clean record; required.
• Hospitality or resort experience is a plus.

Responsibilities

• Maintain a complete, accurate inventory of all fleet vehicles — cars, trucks, vans, and other resort transportation assets.
• Manage the vehicle issuance system, ensuring all personnel checkouts are tracked and all vehicles are accounted for at all times.
• Track usage, fuel consumption, and mileage across the full fleet; maintain scheduled maintenance logs and set up oil change schedules proactively.
• Conduct quarterly drive inspections of all vehicles and photograph each vehicle to document condition.
• Make clear, well-documented recommendations on vehicle repair, replacement, or retirement based on inspection findings and usage data.
• Make purchase and lease recommendations for future fleet needs based on business levels and operational demands.
• Read and follow chemical labels and submit accurate written reports and assessments as required.
• This is a resort hospitality role; availability on weekends, holidays, and extended hours during peak seasons is required.
