Job summary

Southland Industries is seeking a Fleet Operations Coordinator to manage daily fleet activities in Tempe, AZ. responsibilities include inventory control, driver orientation, and lease and insurance coordination.

The role supports cost control and regulatory compliance while partnering with internal units and external vendors. The position emphasizes procurement, scheduling, and data analysis to optimize fleet performance and safety.

Qualifications

• Bachelor’s degree in related field or equivalent training and experience
• 5 years of relevant experience
• Strong verbal and written communication skills
• Ability to multi-task between a variety of job responsibilities
• Proficient knowledge of MS Office applications
• Excellent procurement and negotiation skills
• Basic understanding of budgeting and accounting

Responsibilities

• Oversee day-to-day operations of the vehicle fleet program including acquisition, assignment, maintenance and inventory.
• Maintain fleet records and audits; coordinate vehicle assignments with internal units and external vendors.
• Administer lease management and insurance liaison activities; ensure proper reporting of incidents and damages.
• Ensure compliance with company policies and state/federal regulations.
• Negotiate with vendors on dates, pricing and contracts; monitor invoices and discrepancies.
• Plan replacement schedules and oversee repairs and maintenance operations.
• Conduct budget, cost management and compliance analyses.

• Ensures accurate record of vehicle inventory, drivers and insurance. Updates, maintains and audits fleet tracking system.
• Partners with business units to plan for and coordinate vehicle assignments. Supports the orientation of drivers and communication of safety and maintenance policy.
• Administers lease management. Plans and coordinates vehicle assignments based on demand and availability.
• Supports insurance administration, including acting as liaison between insurance companies and employees. Ensures proper reporting of incident/accident and/or damages.
• Ensures compliance to all company policies and procedures, as well as State and Federal regulations.
• Builds strong working relationships with vendors and service providers. Negotiates expedited dates and prices, manages invoice discrepancies and adherence to contracts.
• Processes, tracks, reports and audits fleet expenses.
• Plans, develops and executes vehicle replacement schedules while overseeing repairs and maintenance operations.
• Conducts research and analysis including budget, cost management, replacement schedules and compliance reporting.
