The Leasing & Rental Coordinator at WEL Companies, Inc. owns the daily administrative execution for truck and trailer leasing and rental activities, ensuring contracts, equipment readiness, assignments, deposits, and customer records are accurate and timely.

This role supports the Director of Leasing by handling routine admin so the director can focus 80% on revenue generation, account development, and sales. It is an individual-contributor position, not a leadership role.

Qualifications

• 2+ years in transportation, fleet, equipment leasing or related administrative work.
• Strong Excel and recordkeeping with attention to detail.
• Ability to manage multiple equipment movements and time-sensitive requests.
• Experience with lease/rental agreements and billing reconciliation.

Responsabilités

• Prepare, issue, track and maintain lease/rental agreements and renewals.
• Coordinate equipment availability, delivery, pickup and returns with Shop, Operations and Safety.
• Maintain live equipment and customer status logs with contracts and dates.
• Onboard drivers/contractors and ensure paperwork is complete.
• Track deposits, charges, credits, and billing exceptions; escalate issues.
• Own system administration and reporting for leasing/rental data.
• Route quotes and pricing decisions to Director.
• Coordinate daily with Operations, Shop, Safety, Accounting and Leasing to avoid downtime.
• Maintain checklists and document controls; suggest improvements.
• Escalate overdue equipment and missing paperwork promptly.
