Fleet Coordinator – Position Summary: We are seeking a detail‑oriented and proactive Fleet Coordinator to manage vehicle operations, accident claims, and telematics systems. This role is critical in minimizing fleet downtime, ensuring accurate documentation, and maintaining compliance with company safety standards.
Key Responsibilities
- Manage and file auto accident claims with third‑party insurance carriers; track each claim through resolution and payment.
- Maintain accurate and up‑to‑date records on vehicle repairs, including status, location, completion dates, and outstanding payments.
- Organize and manage auto accident files, ensuring clear documentation and status notes for visibility across teams.
- Coordinate and schedule vehicle repairs promptly, regardless of insurance payment status, to minimize downtime.
- Arrange repair appointments and oversee vehicle drop‑off and pick‑up logistics.
- Monitor and maintain the Verizon Fleetmatics system to ensure GPS and camera units are functioning properly.
- Identify vehicles with malfunctioning or non‑reporting GPS/camera systems and coordinate repairs or replacements.
- Ensure vehicles with damaged GPS systems are grounded until repairs are completed.
- Identify vehicles lacking cameras and coordinate installation with Verizon or third‑party vendors.
- Review dash cam footage weekly and report any unsafe driving behaviors, including distractions, near misses, collisions, or traffic violations.
- Generate and distribute weekly reports for HR and management as requested.
- Provide weekly updates on GPS and camera issues, including corrective actions taken.
- Oversee company toll accounts, including E‑ZPass and SunPass.
- Perform other related duties as assigned.

Qualifications
- High school diploma or equivalent required.
- Previous experience in fleet management, logistics, or administrative coordination preferred.
- Strong organizational and documentation skills.
- Experience with telematics systems (e.g., Verizon Fleetmatics) is a plus.
- Ability to manage multiple tasks and prioritize effectively in a fast‑paced environment.
- Strong communication and problem‑solving skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Valid driver’s license with a clean driving record required.
- Ability to pass a background screening.
Physical Requirements & Work Environment
- Primarily office‑based with regular computer use for extended periods.
- Frequent sitting, with occasional standing, walking, bending, and lifting up to 25 pounds.
- Visual and cognitive ability to review detailed records and dash cam footage.
- Fast‑paced environment requiring attention to detail, multitasking, and timely follow‑up.
- Frequent interaction with vendors, drivers, insurance companies, and internal teams.
