Job summary

Komatsu America Corp. in South Plainfield, NJ is seeking a Fleet Coordinator to manage vehicle records, DOT compliance, and administrative audits.

You will maintain registrations, insurance, inspections, and driver files, while partnering with the fleet team on acquisition, maintenance, and retirement of vehicles. In this role, you will analyze utilization data, prepare reports, and ensure SOP compliance across Service and Parts operations.

Qualifications

• 2–3 years of experience in fleet administration or high-volume administrative support.
• Basic understanding of DOT regulations and Driver Qualification (DQ) file management.
• Proficiency with MS Office and familiarity with Fleet Management Software (FMS).
• Strong analytical skills to audit records and identify process gaps.

Responsibilities

• Record keeping: maintain up-to-date vehicle records, registrations, titles, insurance, and inspections.
• Lifecycle support: partner with the fleet team on acquisition, assignment, maintenance, and retirement of vehicles.
• Utilization tracking: monitor fleet usage data and report underutilized or salvage-eligible assets.
• Reporting: prepare and distribute reports on inventory, utilization metrics, and compliance indicators.
• Maintain DOT and non-DOT Driver Qualification files, tracking licenses and medical certificates.
• Coordinate new-hire driver onboarding and DOT random drug testing program participation.
• Audit service and Parts processes for SOP compliance and proper 3C documentation.
• Identify trends and document compliance risks for leadership review.
