Job summary

AIS Infrastructure Group in the United States is seeking an Asset Operations Specialist to provide administrative and operational support for fleet, equipment and asset management across the West Region.

This entry-level role coordinates equipment logistics, maintains fleet records, supports compliance, and acts as a liaison between operations, vendors, drivers and project teams to ensure efficient asset utilization.

Qualifications

• High school diploma or equivalent; associate degree preferred.
• 2+ years in administrative support; construction or industrial services experience is a plus.
• Proficient in MS Office; strong written and verbal communication skills.
• Ability to prioritize and multitask in a fast-paced environment.

Responsibilities

• Verify and ensure West Region weekly timecards are accurately completed, submitted, and uploaded.
• Monitor and maintain accurate E360 records for maintenance and repair activities.
• Coordinate equipment setup requests for the assigned region.
• Process equipment relocation requests and driver assignment changes.
• Serve as the primary point of contact for invoice discrepancies and resolution efforts.
• Assist shop personnel with corporate credit card reporting and related administrative needs.
• Maintain accurate and up-to-date equipment inventory records.
• Serve as the point of contact for vehicle tags, registrations, and insurance documentation.
• Assist with identifying vendor resources and discount programs.
• Coordinate shipment and transportation of equipment, parts, and materials.
• Ensure all new and transferred vehicles have required documentation and assets.
• Coordinate third-party haulers and transportation providers for equipment and parts.
• Track vehicle recalls, damage reports, and driver action items for timely resolution.
• Provide equipment specs and asset information to project teams and stakeholders.
• Assist with coordinating rental vehicles and related logistics.
