Job summary

The Hiller Companies, LLC is seeking a Service Administrator to support the Service Manager and Service Coordinators, ensuring clear communication, timely job completion, and proper documentation for all field work.

This role also serves as the primary liaison to 3rd party portals, helps prepare quotes and purchase orders, and collaborates with sales to identify additional service opportunities while driving efficiency across operations.

Qualifications

• High School Diploma/GED required.
• Some college preferred.
• 2+ years’ customer service experience.
• Prior service department experience and/or project management support preferred.
• Confident negotiating with vendors and customers.
• Strong written and verbal communication skills; proficient with MS Office.
• Excellent organizational, time-management and documentation skills.

Responsibilities

• Receive overflow service calls to improve customer experience.
• Provide backup to service coordinators for scheduling services.
• Review completed jobs and verify inventory and costs at closure.
• Manage service tasks and coordinate with service coordinators for smooth operations.
• Maintain and process inspection documentation during job completion.
• Assist Service Manager in tracking jobs reopened due to missing information.
• Aid in processing POs and ordering materials as needed.
• Communicate quotes needed to sales during job closures.
• Serve as liaison to 3rd party portals (IROL, etc.).
• Ensure work order extensions are requested in customer portals.
• Assist with customer setup needs and issuing proforma invoices.
• Identify opportunities for additional service lines with the sales team.
• Complete special projects and suggest efficiency improvements.
