Job Summary

The Financial Aid Services Coordinator supports the Financial Aid department by managing various administrative tasks and assisting in the coordination and execution of financial aid communications, scheduling, record management, and special projects. This role plays a critical part in ensuring smooth operations, effective communication, and compliance with regulations. The Financial Aid Services Coordinator will collaborate with multiple departments, contribute to outreach efforts, and maintain accurate records to support the Financial Aid team in meeting the needs of students.

The Financial Aid Services Coordinator plays a key role in fostering a positive work environment with the expectation of continuous improvement and first-class customer service. The incumbent participates in divisional activities as a member of the Enrollment Management Services Division. Collaborative and team-oriented skills with a commitment to student success is essential attributes for the individual in this position.

Responsibilities
  • Manages the Financial Aid Communications calendar and coordinates the distribution of all related communications. Informs relevant departments when mass communications have been sent. Coordinates with Admissions to ensure communications are being delivered in conjunction with their Communications Calendar.
  • Oversees the Financial Aid Calendar, including scheduling office meetings and reserving meeting rooms.
  • Prepares Orientation Letters for each Grizzly Orientation and works with the Office of New Student Connections to ensure timely delivery of information.
  • Updates Financial Aid Dynamic forms and maintains a list with details about the forms and their update schedules. Coordinates with the financial aid team for yearly review and improvements.
  • Maintains the office manual and assists the Assistant Director of Compliance in keeping the Financial Aid Policy and Procedures Manual current.
  • Manages the Financial Aid Shared Drive and ensures compliance with records retention requirements for each item stored.
  • Helps create and complete outreach letters to students such as exit letters, housing letters and other financial aid communications. Works with the department to send out communications utilizing Banner Communications Manager (BCM).
  • Assists the Associate Director with managing the departmental budget.
  • Contributes to special projects led by the Leadership Team and participates in local high school FAFSA/Financial Aid events. Supports Grizzly Orientation and the FAFSA Completion Center as needed.
Required Qualifications
  • 2 Year / Associate Degree
  • Associate's degree and 1-2 years of relevant experience (equivalent combination of education and experience will be considered)
Preferred Qualifications
  • Four years of experience which includes record keeping, auditing, customer service, or related duties; or an associate degree and two years of experience which includes record keeping, auditing, customer service, or related duties
  • Experience with data management and Banner SCT
