Oaklight Environmental Consulting is seeking an organized, detail-oriented Part-Time Financial Administrator to support our growing environmental consulting firm. This role focuses on day-to-day financial administration, project accounting, invoicing, expense processing, and general office operations from our Austin office.
The ideal candidate has experience with project-based accounting, labor and expense allocation, and QuickBooks Online.

Oaklight Environmental Consulting is seeking an organized, detail-oriented Part-Time Financial Administrator to support our growing environmental consulting firm. This position will work closely with company leadership and project managers to manage day-to-day financial administration, project accounting, invoicing, expense processing, and general office operations.

The ideal candidate has experience with project-based or job-cost accounting, understands the importance of accurately assigning labor, expenses, subcontractor costs, and other charges to individual projects, and is comfortable working independently in QuickBooks Online. This role is well suited for someone who enjoys keeping the financial and administrative side of a growing professional-services business organized and running smoothly.
Maintain accurate and current financial records in QuickBooks Online.
Review, categorize, and reconcile company credit card and other business expenses.
Ensure expenses are accurately assigned to the appropriate client, project, task, and expense category.
Review project costs for completeness and accuracy and help identify expenses that are missing, miscoded, or assigned to the wrong project.
Assist with project/job-cost accounting, including tracking labor, expenses, subcontractor costs, and other direct project costs.
Work with project managers to review project financial information and resolve discrepancies.
Assist with accounts payable, including processing vendor and subcontractor invoices and ensuring project-related costs are properly coded.
Prepare and issue client invoices and coordinate with project managers regarding billing, reimbursable expenses, and supporting documentation.
Track accounts receivable and follow up on outstanding invoices as appropriate.
Reconcile bank and credit card accounts.
Maintain vendor records and assist with W-9 and 1099 documentation.
Assist with monthly financial reporting and provide information to company leadership and the company’s outside accountant/CPA.
Maintain organized electronic accounting and financial records.
Assist with general management and organization of the Austin office.
Order and maintain office supplies and coordinate with office vendors.
Assist with mail, shipping, printing, and other routine office needs.
Maintain organized electronic and administrative files.
Assist with employee expense documentation and other administrative processes.
Provide general administrative support to company leadership and project managers.
Assist with other business and office operations as needed.
Prior experience in bookkeeping, financial administration, accounting support, or a similar role is required.
Experience with project-based, job-cost, or project accounting required.
Experience supporting a professional-services, consulting, engineering, environmental, architecture, construction, or similar project-driven business is strongly preferred.
Demonstrated understanding of assigning expenses, vendor invoices, subcontractor costs, and other charges to individual projects or jobs.
Proficiency with QuickBooks Online.
Strong proficiency with Microsoft Excel and Microsoft Office.
Ability to review project financial information and identify discrepancies or missing information.
Exceptional attention to detail and organizational skills.
Ability to handle confidential financial and personnel information appropriately.
Strong communication and follow-through.
Ability to work independently, prioritize competing needs, and identify items requiring attention without extensive supervision.
An associate’s or bachelor’s degree in accounting, finance, business administration, or a related field is preferred but not required. Relevant project-accounting, bookkeeping, or small-business financial experience may substitute for formal education.
This is a part-time position anticipated to average approximately 20 hours per week. We offer flexibility in establishing a regular daytime schedule, with work primarily performed from Oaklight’s Austin office . As the needs of the company grow, there may be an opportunity to transition to full-time employment in the future, if desired.
Oaklight offers competitive pay and benefits. The anticipated pay range for this position is $25-35/hour. Compensation will be commensurate with experience. This position is eligible for participation in a 401k program with company match.
