Job summary

Children’s Home & Aid is seeking a Finance Operations Associate to design process improvements and support department projects. You will liaise across teams to perform essential administrative duties and help implement a new credit card and expense platform, drafting policies to ensure compliance.

The role ensures staff across locations have tools and support to perform daily finance tasks efficiently while advancing the organization’s mission to serve children and families.

Qualifications

• Bachelor's degree or equivalent required.
• Minimum of 2 years related administrative support experience.
• Excellent communication and interpersonal skills.
• Strong organizational skills and attention to detail to manage multiple priorities and meet deadlines.
• Initiative, self-motivation and consistent follow-through.
• Learner’s mindset with the curiosity to find and apply new systems and software.
• Must have access to transit or other reliable transportation.

Responsibilities

• Supports special projects requiring research, analysis, and recommendations, including the implementation of a new credit card and expense platform.
• Streamlines operational workflows to enhance departmental efficiency and coordinates across teams to ensure successful adoption of new processes.
• Coordinates team meetings and events and supports the SVP/CFO in scheduling meetings.
• Assists in creating meeting agendas, slides, and post-meeting notes for monthly department meetings.
• Manages visitor registration and supports office security procedures.
• Initiates the cash receipt workflow by preparing deposits and routing receipts weekly to bi-weekly.
• Liaises with vendors to manage corporate accounts and maintains purchasing policies and documentation.
• Updates tax-exempt statuses and provides reconciliation support as needed.
• Maintains detailed records of assets and vehicles and supports insurance coordination.
• Provides executive support including audit material preparation and coordination of board meeting logistics.
