Asian Cultural Council in New York (ACC) is seeking a Finance and Operations Administrator to support accounting, budgeting, reporting, and operations. The role collaborates across teams to maintain strong internal controls and financial integrity.

Reporting to the Director of Finance and Operations, you will work with IT, facilities, HR, and program staff to optimize processes, manage vendor relations, and coordinate financial systems administration.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration or related field.
  • 3-5 years of relevant experience in accounting, finance and operations.
  • Knowledge of general accounting principles, financial reporting, and budget monitoring.
  • Experience with accounting software (preferably NetSuite) and Excel.

Responsibilities

  • Assist with monthly closing, general accounting, accounts receivable/payable, grants and contributions, bank transfers, cash flow and journal entries.
  • Prepare and maintain financial reports and records; support budgeting and variance analysis.
  • Coordinate with auditees and assist with annual audit preparations and reporting.
  • Oversee vendor management, facilities coordination, asset administration, and onboarding training.

Job description

Headquartered in New York City, the Asian Cultural Council (ACC) is a leading nonprofit organization working to foster cultural exchange between Asia and the U.S. to advance international dialogue, mutual understanding, and respect. Individual fellowships and organizational grants are awarded to support research, study, and creative work by leaders practicing 16 disciplines in the arts and humanities in the U.S. and 25 countries and regions in Asia. ACC has awarded more than $100 million in grants and has supported nearly 6,000 exchanges.

As a grantmaking and grant-seeking organization, ACC raises funds from individuals, foundations, and corporate donors.

ACC has a current annual operating budget of approximately $4.5 million. Revenue sources include charitable contributions, special events, a biennial gala, and investment returns. The organization has an endowment with a current market value of approximately $53 million. ACC staff in New York work closely with four affiliate offices in Hong Kong, Taipei, Tokyo, and Manila.

All ACC staff currently work in a hybrid environment (a minimum of three days in-office). Additional days in the office are as required or requested. This schedule may be adapted at management’s discretion.

Position Summary

The Finance and Operations Administrator is a central role that supports the organization's financial integrity, operational excellence, and administrative effectiveness. Responsible for assisting with accounting and financial operations, budgeting, reporting, audit preparation, and financial systems administration, the role helps ensure accurate financial management and strong internal controls across the organization. The position also oversees a range of office operations and technology support functions, including vendor management, facilities coordination, asset administration, and employee onboarding training. Reporting to the Director

of Finance and Operations, the Finance and Operations Administrator works collaboratively across teams to strengthen organizational processes, enhance operational efficiency, and support informed decision-making.

Position Role and Responsibilities
Fiscal Management
  • Assist with monthly closing processes and general fiscal operations, including general accounting, accounts receivable/payable, grants and contributions, bank transfers/wires, cash flow management, tax filing/reporting, journal entries, financial reports/records, and general ledger accounts reconciliations
  • Reconcile expense reports submitted by teams on a monthly basis for proper substantiation, accuracy, and validation
  • Administer corporate credit card program by monitoring card usage in accordance with policy and assisting cardholders with addressing card issues
  • Prepare annual end-of-year billing reconciliation for ACC’s affiliate offices
  • Maintain the accounting systems infrastructure and conduct finance onboarding for new staff
  • Maintain financial reports, records, fiscal policies, and procedure manuals with a degree of high standard to strengthen internal control
  • Support with the annual budgeting process and financial performance monitoring (Budget vs Actuals) and projections
  • Support annual audit by coordinating with other team members to secure necessary documentation and information
  • Assist with the preparation of Board and Committee financial reports and record minutes for Audit and Finance & Investment Committee meetings
Operations and Technology Support
  • Manage the procurement protocol and order general office supplies and equipment
  • Asset and equipment management and assignment to staff
  • Ensure all required business insurance policies, office services, and operational vendor agreements are maintained, renewed, and aligned with organizational needs
  • Coordinate NYC office cleaning schedule and manage relations with facilities providers
  • Liaise with building management on NYC office facilities issues and maintain door security codes
  • Manage basic organizational IT support needs in coordination with external IT helpdesk
  • Coordinate purchase and assignment of laptops and softwares for new hires with the external IT helpdesk
  • Support on- /off-boarding in coordination with HR and welcome supplies to new hires
  • Assist with the scheduling and coordination of team meetings and events
Position Qualifications
Education and Experience
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • 3-5 years of relevant experience in accounting or finance and operations.
  • Knowledge of general accounting principles, financial reporting, and budget monitoring.
  • Experience with accounting software (preferably NetSuite) and Microsoft Office applications, especially Excel.
