Job Details
Key Responsibilities:
Budgeting & Forecasting
Lead the annual budgeting process for the Facilities Department, including operating expenses, maintenance, utilities, leases, repairs, and capital expenditures.
Develop and maintain detailed departmental budgets, forecasts, and financial models.
Partner with Facilities leadership to develop annual spending plans and establish realistic financial targets.
Prepare monthly, quarterly, and annual budget forecasts and update projections based on actual performance and changing business needs.
Monitor budget-to-actual performance and identify trends, risks, and opportunities.
Provide recommendations to management regarding budget adjustments, cost controls, and resource allocation.
Financial Analysis & Reporting
Analyze Facilities financial performance, including operating expenses, maintenance costs, utilities, contracts, repairs, supplies, and other departmental expenditures.
Prepare monthly financial reporting packages for Facilities leadership and senior management.
Conduct detailed budget vs. actual, forecast vs. actual, and year-over-year variance analysis.
Investigate significant variances and work with department leaders to understand underlying business drivers.
Develop financial dashboards, KPIs, and management reports to provide visibility into Facilities spending and performance.
Identify cost trends, inefficiencies, and opportunities for savings.
Provide clear financial commentary and recommendations based on analytical findings.
Facilities & Operational Finance
Analyze financial performance across the organization's facilities, locations, and properties.
Monitor facility-related operating expenses and identify opportunities to improve cost efficiency.
Review and analyze vendor contracts, service agreements, maintenance expenses, utilities, and other recurring facility costs.
Support financial analysis related to facility expansions, relocations, renovations, and capital projects.
Analyze capital expenditures and assist with tracking project budgets, commitments, actual costs, and remaining funds.
Partner with Facilities and Operations teams to evaluate proposed projects and determine financial impact.
Monitor project and departmental spending against approved budgets and identify potential overruns.
Financial Modeling & Decision Support
Build financial models to support Facilities planning, operational decisions, and long-term financial strategies.
Perform cost-benefit and ROI analyses for proposed projects, contracts, equipment purchases, and operational initiatives.
Develop scenario analyses to evaluate the financial impact of changes in staffing, facility utilization, vendor costs, leases, utilities, and capital investments.
Provide financial analysis and recommendations to leadership for major expenditures and strategic initiatives.
Translate complex financial information into clear, concise business recommendations for non-financial stakeholders.
