Job Description
SUMMARY: This position is responsible for overseeing the general administrative function and activities of the office.
Schedule Mon-Fri 8am-5pm
Payrate $25hr
DUTIES AND RESPONSIBILITIES:
• Provides clerical support such as answering phones, sorting and distributing mail, and forwarding or depositing checks received.
• Manages the petty cash fund.
• Maintains inventory of office and breakroom supplies; orders new supplies as needed.
• Manages or assists in the management of vendors for services, supplies and office equipment maintenance.
• Maintains office files; implements an efficient system for other staff to access files and records including supporting documentation for AS9100 certifications and statutory retention requirements.
• Provides warehouse assistance where needed as it pertains to receiving, order scheduling, order fulfillment, freight scheduling, inventory transfers, and shipping.
• Verifies and uploads documents to support shipping transactions in NetSuite to include Ticket Deductions, Bills of Lading, Packing Slips.
• Creation of customer invoices in NetSuite and e-mail notification to the customer along with any required supporting documentation
o Inclusion of freight charges when applicable
o Verification of pricing on invoices to be consistent with Sales Order
o Confirmation on receipt of advance payment for advance transfer orders.
• Runs credit card payments for customer invoices with those terms prior to release of shipment. .
• Provides sales support as needed responding to customer specific requests for statements, credit card information, W9 updates, etc.
• Assists with postings of employee notices such as holiday and shutdown schedules, company posters and statutory HR notices.
• Serves as back up for invoicing (and certifications)
• Performs other related duties as assigned by management.

o Maintenance of Customer Portals
o Vouchering vendor invoices for inventory purchase and conversions
o Review of Freight Invoices
SUPERVISORY RESPONSIBILITIES:
This position does not have any supervisory responsibilities.
QUALIFICATIONS:
• High school diploma or general education degree (GED), or one to three months experience in an office environment.
• Computer skills required:
o Operating Systems Software (NetSuite)
o Microsoft Office Applications
o Word
o Excel
o Outlook (e-mail)
• Other skills required :
o Excellent verbal and written communication skills.
o Excellent interpersonal and customer service skills.
o Excellent organizational and time management skills and attention to detail.
