Job summary

Loews Hotels & Co is seeking a Sourcing Manager - FF&E to support daily contract commitments and invoice processing within the Design & Construction and Finance teams. You will manage architectural, interior, engineering contracts and capital expenditure commitments.

The role emphasizes collaboration with 3rd party purchasing and design teams, Oracle contract processing, and ensuring compliance with finance policies. Travel is limited and strong MS Office skills are required.

Qualifications

• Understanding and knowledge of basic accounting principles.
• Strong interpersonal and time management skills.
• Highly organized and detail oriented with ability to manage large data volumes.
• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with databases.
• Travel – Less than 5%.
• Minimum of three (3) years of project accountant experience.
• Previous experience in Purchasing and/or Construction fields.
• Experience with Oracle databases.
• BS/BA degree preferred in finance, accounting or relevant/similar discipline but not required.

Responsibilities

• Contract commitments, processing, tracking change orders and invoice processing across Architectural, Interior, Engineering, Consulting, Purchase Orders, and Loews Capital Expenditure commitments.
• Processing approved Contracts in Oracle system, change orders, budget increases; review and verify vendor invoices before PM review.
• Collaborate with 3rd Party Purchasing Agents and Design Teams to ensure timely processing, reporting of commitments and deposits, shop drawings submissions, production and delivery of FF&E to warehouse or site.
• Track monthly billings and prepare regular updates for PM; provide FF&E status, deposits/payments, and ensure compliance with Finance policies (Banking Information, Wiring Instructions, W9, COIs).
• Bid and prepare FF&E purchase orders when 3rd Party Agents are not assigned; gather vendor information and ensure deposits are processed.
• Assist PM in tracking FF&E specs, drawings, including flame certificates, maintenance and cleaning instructions.
• Build Loews preferred Vendor contact list for FF&E; update OS&E library with specs, images, and costs; create cost summaries for Design & Construction.
• Attend mandatory trainings and meetings; vary schedule as needed; perform other duties as assigned.
