Job summary

Loews Hotels & Co is seeking a contract administrator to support the Senior Leadership team on legal and risk management matters related to contract administration across client sales contracts, leases, and service agreements.

This role requires at least 2 years of contract administration experience, a Bachelor’s degree, strong MS Office and data management skills, and the ability to coordinate with internal teams and external partners in a fast-paced hospitality environment.

Qualifications

  • 2+ years of experience in contract administration.
  • Bachelor's degree in Law, Business, or Finance preferred.
  • Proficient in MS Office and data management.
  • Strong understanding of basic accounting, budget reconciliation.
  • Knowledge of Adaco and Epicor preferred.

Responsibilities

  • Administer and archive contracts, track renewals and covenants.
  • Maintain electronic database.
  • Assist Sourcing Contract Attorney with insurance language and deviations.
  • Review renewals of contracts and service agreements.
  • Assist with contract terminations and assignments.
  • Coordinate with owners, tenants, vendors, and JV partners.
  • Monitor legal expenses and liaise with auditors.
  • Attend meetings as required.

What We’re Looking For

This position supports the Senior Leadership team on legal and risk management matters related to contract administration to include client sales contracts, retail tenant leases, office tenant leases, concession agreements, equipment leases, service agreements, facility contracts, construction contracts and technology contracts. This position also ensures compliance with covenants of all partnership agreements and amendments and that all Loews Hotels & Co. contracts meet Loews Hotels standards of indemnity, insurance, and covenant requirements.

What You Will Do
  • Contract administration to include archiving, tracing, reviewing, notification of renewals, covenants, compliances, certificates of insurance and tax forms.
  • Maintaining electronic database.
  • Responsible for assisting Sourcing Contract Attorney with compliance with standard language for insurance, liability, and indemnity, and for tracking and documenting deviations approved by Sr. Management for reporting to audit and/or Sr. Management.
  • Advise Sr. Management when language changes may require legal review or a legal opinion.
  • Assists with reviewing and preparing renewals of existing contracts, templates, and service agreements.
  • Assists Sourcing Contract Attorney with redlines and contract negotiations.
  • Assists with notifications of contract terminations and assignments.
  • Assists Sourcing Contract Attorney and Executive Management in communications with ownership representatives, tenants, vendors, and JV partners.
  • Assists the Sourcing Contract Attorney in monitoring and tracking legal expenses.
  • Serves as a key liaison and coordinates with internal and external auditors as required.
  • Liaison with corporate legal and corporate risk management, as a Sourcing Contract Attorney feels, is needed.
  • Regular attendance in conformance with standards.
  • May be required to work varying schedules to reflect business needs of the hotel.
Your Experience Includes
  • 2+ years of experience in contract administration
  • Bachelor's degree required. Preferably in Law, Business, or Finance.
  • Must be proficient in Microsoft Office Suite to include Excel, Word, Project, Access, Outlook and in Data Base Management, SharePoint and related software.
  • Must have a strong understanding of basic accounting in regard to budget reconciliation and tracking, and balancing G/Ls.
  • Knowledge of Adaco and Epicor preferred.
