The ideal candidate will have strong project coordination experience, be proficient in Ajera, and demonstrate excellent communication and organization to manage several federal projects concurrently in a hybrid work environment.

Qualifications

  • Associate’s degree preferred; relevant field an asset.
  • Minimum of five years of project coordination experience.
  • Strong communication and organizational abilities required.

Responsibilities

  • Assist federal project managers by setting up and maintaining projects in Ajera.
  • Identify and communicate project data anomalies in Ajera.
  • Develop sub-contract agreements and maintain project documentation.
  • Create agendas, prepare presentations, take minutes, and support progress reporting.
  • Review Bluebeam sessions for TQC adherence and compile deliverables.
  • Attend meetings to support project managers.
  • Assist in proposals and pricing splits with JV partners.
  • Maintain project folders and ensure deliverables are stored properly.
  • Process mail, scan documents, and maintain project records.
  • Support closeout activities, including certificates of completion and final pay applications.
  • Update project templates and assist with invoicing.
  • Provide general administrative support as needed.

Position: Federal Project Coordinator

We are seeking a detail-oriented and highly organized Federal Project Coordinator to join our Project Management team. This role provides administrative and logistical support to federal project managers, ensuring the efficient execution of multiple task orders under Indefinite Delivery/Indefinite Quantity (IDIQ) contracts. The ideal candidate is skilled in project coordination, document management, and communication, with the ability to assist in project setup, invoicing, subcontract agreements, and deliverable compilation.

Key Responsibilities
  • Assist project managers in setting up and maintaining projects in Ajera.
  • Identify and communicate project data anomalies in Ajera.
  • Develop sub-contract agreements and maintain project documentation.
  • Create meeting agendas, prepare presentations, take meeting minutes, and support progress reporting.
  • Review Bluebeam sessions for TQC adherence and compile deliverables.
  • Attend meetings when needed to support project managers.

Job Requirements
  • Associate’s degree preferred.
  • Minimum of 5 years of project coordination experience.
  • Proficiency in Ajera software.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to manage multiple projects and meet deadlines.
  • Pre-employment drug test, background check, and valid driver’s license required.
