Job summary

U.M. FDSP Associates seeks a Front Desk Supervisor to support the clinical operation by overseeing core business functions such as accounts receivable, payable, and purchases.

This role reports to the Faculty Practice Manager and emphasizes service quality and efficient front office operations. The position requires a Bachelor’s degree and two years in fee-for-service operations, with supervisory experience.

Qualifications

  • Bachelor’s degree in a related field and two years of experience in a fee-for-service operation.
  • At least one year experience supervising and training employees.
  • Excellent oral and written communications skills.
  • A working knowledge of Excel and Word software.
  • Knowledge of enterprise-wide computer applications.

Responsibilities

  • Oversee accounts receivable, payable, purchases and related functions to support clinical operations.
  • Supervise front desk staff, ensuring professional attire and courteous service.
  • Ensure OSHA guidelines, PPE, and clean, orderly reception areas.
  • Coordinate patient scheduling and onboarding, improve registration and payment processes.

SUMMARY:

Reports to the Faculty Practice Manager, is responsible for accounting, budget and business management functions. Supports the clinical operation by overseeingcore business functions related to accounts receivable, payable, purchases andthe like.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Front Desk Supervisor

Customer Service:

  • Implements cultureprojecting an interest in serving others - friendly, courteous, helpful,and responsive front office staff
  • Ensures professionalattire worn by front office staff
  • Ensure compliance withOSHA Guidelines including PPE

Monitors PerformanceParameters of Practice and Staff:

  • Ensure front office andreception space in clean, neat, and orderly condition
  • Ensure front office andreception equipment and furniture maintained, clean, and up to date
  • Ensures optimization ofall patient schedules
  • Make sure providerschedules are booked
  • Maximize support for newpatient onboarding for entire practice
  • Simplify registration
  • Complete accurateinformation
  • Manage timely labpick-up and delivery for entire practice
  • Maximize insuranceprocessing support for entire practice
  • Ensurespre-authorizations submitted same day as treatment plan approved
  • Ensures communicationswith patients upon receipt of pre-authorizations from insurance company
  • Review payment optionsand establish payment plans
  • Ensures proceduressubmitted to insurance on day of service
  • Includes dentalinsurance processing
  • Ensures optimalcollections process for entire practice
  • Ensures optimalinsurance processing
  • Ensures compliance ofcollection of patients portion on day of service
  • Timely and appropriateadjustments

EDUCATION and/or EXPERIENCE:

Bachelor’s degree in a related field andtwo years of experience in a fee for service operation. At least one year experience supervising andtraining employees. Additionalexperience may be substituted for some or all of the education requirement. Excellentoral and written communications skills.A working knowledge of Excel and Word software. Knowledge of enterprise-wide computerapplications.

Required Knowledge / Skills / Abilities:

Ability to independently perform specialized tasks followingstated procedures. Skill in applyingbasic analytical skills to problems where clear precedent may not exist. Thorough knowledge of and skill in applyingoffice practices and procedures, principles of office management andsupervision. Skill in planning andcoordinating clerical work; in motivating and providing guidance andinstruction to clerical personnel.Ability to interpret and apply departmental policies and procedures toeveryday situations. Ability

to establish and evaluate clerical methods and procedures;to negotiate resolution to scheduling and procedural problems; to communicateeffectively both orally and in writing; to establish and maintain effectivework relationships.
