Job Summary

The Faculty Affairs Program Manager coordinates faculty affairsoperations for the Department of Internal Medicine, one of thelargest departments within University of Utah Health. Supportingapproximately 500 faculty members across 12 divisions, thisposition manages faculty lifecycle activities, includingappointments, reappointments, track changes, onboardingcoordination, faculty review processes, and maintenance of officialfaculty records. Working collaboratively with other Faculty Affairs team members,this position provides operational support across the full facultylifecycle and serves as a shared resource for faculty recruitment,appointments, reviews, promotions, and faculty datamanagement. Serving as a key liaison for faculty, department leadership,Faculty Administration, Human Resources, the University of UtahMedical Group (UUMG), and other institutional partners, the ProgramManager ensures compliance with University and School of Medicinepolicies and procedures, supports faculty processes, maintainsaccurate records, and provides guidance on faculty affairsmatters.

Operations Program Manager, II
Working Title: Faculty Affairs Program Manager

  • Coordinate faculty recruitment and appointment activities,track changes, and appointment actions for Volunteer Adjunct,Adjunct, Clinical, Research, Tenure, Visiting, and Lecturer-trackfaculty. Provide support throughout the faculty hiring process,including recruitment, candidate processing, appointmentpreparation, and onboarding coordination.
  • Prepare required documentation, Chair letters, facultyappointment files, and electronic voting materials.
  • Coordinate emeritus faculty requests in accordance withUniversity and School of Medicine guidelines.
  • Serve as departmental liaison to Faculty Administration, HumanResources, Mission Based Management and other University partnersregarding faculty onboarding, credentialing, and enrollmentactivities; monitor process status and communicate updates tofaculty, divisions, and leadership.
  • Coordinate and support faculty review, promotion and tenureprocesses, including Tenure Faculty Review (TFR), and Retention,Promotion, and Tenure (RPT) activities, ensuring compliance withdepartmental and institutional timelines and requirements.
  • Manage annual reappointment processes for a large facultypopulation.
  • Maintain official faculty records and ensure data accuracy,confidentiality, and compliance with institutionalrequirements.
  • Advise faculty, administrators, and leadership on facultyaffairs policies, procedures, and timelines.
  • Prepare reports, queries, and faculty metrics, and datarequests; communicate Faculty Affairs updates and policy changes.Analyze faculty workforce data and provide information todepartment leadership to support planning, compliance, anddecision-making.
  • Coordinate and maintain faculty affairs records, databases, andreporting systems to ensure data integrity and compliance withUniversity and School of Medicine requirements.
  • Lead or participate in process improvement initiatives,documentation development, cross-training activities, and otherduties as assigned. Develop and maintain standard operatingprocedures to promote consistency, efficiency, and continuityacross Faculty Affairs functions.
  • Collaborate with Faculty Affairs team members to distributeworkload, provide operational backup coverage, and ensurecontinuity of faculty services across recruitment, appointments,reviews, promotions, and record management functions.

Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience. This is a Developing-Level position in the General Professional track. JobCode: P23332Grade: P16Expected Pay Range: $40,815 to $84,252.00,DOE

Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher educationcan be substituted for 1 year of directly related work experience(Example: bachelor's degree = 4 years of directly related workexperience).

Preferences
  • Experience in faculty affairs administration within an academichealth center, medical school, or higher educationenvironment.
  • Knowledge of faculty appointment, review, promotion, tenure,and reappointment processes, preferably within the University ofUtah School of Medicine.
  • Exceptional attention to detail to identify discrepancies,analyze data and follow complex protocols.
  • Demonstrated ability to interpret, apply, and communicateinstitutional policies, procedures, and guidelines.
  • Strong organizational, communication, and customer serviceskills, with the ability to manage multiple priorities anddeadlines.
  • Experience maintaining data integrity, managing confidentialrecords, and generating reports using enterprise systems anddatabases.
  • Demonstrated ability to analyze information and coordinatecomplex processes involving multiple stakeholders while maintainingaccuracy, professionalism, and confidentiality.
