Job summary

Jones Lang LaSalle Incorporated in Jersey City, NJ seeks an Assistant Facilities Manager to support a premier financial services client. You will oversee daily operations, coordinate maintenance, and manage vendors with a focus on safety and compliance.

The role requires 4–7+ years in facilities management, a bachelor's degree, and strong hospitality and financial acumen. You will partner with cross-functional teams, support budgets, and help create an exceptional workplace experience.

Qualifications

• 4–7+ years of experience in Facilities Management, Corporate Real Estate, Property Management, Building Operations, Workplace Experience, or a related field.
• Experience within financial services, investment banking, Class A commercial office environments, or another highly regulated corporate environment strongly preferred.
• Demonstrated experience managing day-to-day facilities operations and multiple service providers.
• Working knowledge of commercial building systems including HVAC, electrical, plumbing, fire/life safety, vertical transportation, and general building maintenance.
• Experience with budgeting, forecasting, accruals, invoice management, purchase orders, and financial reporting.
• Strong vendor and contract management skills.
• Experience supporting facility projects and developing scopes of work.
• Familiarity with regulatory compliance and Environmental Health & Safety requirements.
• Strong client service and hospitality mindset.
• Excellent organizational skills with the ability to manage multiple priorities in a fast-pace environment.
• Strong written and verbal communication skills.
• Ability to communicate effectively with senior leaders, client stakeholders, vendors, and cross-functional teams.

Responsibilities

• Oversee daily facility operations across assigned areas and ensure services meet established standards.
• Manage work orders from initiation through completion with prioritization and documentation.
• Coordinate preventive and corrective maintenance with Engineering and service providers.
• Support management of building systems including HVAC, electrical, plumbing, life safety, and vertical transportation.
• Coordinate events and executive meetings, ensuring readiness and minimal disruption.
• Develop and track budgets, forecasts, accruals, and variance reporting.
• Manage vendor relationships, schedules, permits, and certificates of insurance.
• Promote a hospitality-first approach to facilities management and workplace experience.
• Lead small to mid-sized facility projects and drive process improvements.
