Job summary

PHD Services LLC in Peoria, IL is seeking a Facility Lead to act as the primary on-site representative for facility operations, ensuring a safe, functional, and professional workplace for employees, visitors, and customer leadership.

The role serves as the central point of contact for site requests, coordinates resources and vendors, and communicates regularly with employees and executive leadership to resolve issues and maintain a responsive, customer-ready environment.

Qualifications

  • Bachelor's degree or 3+ years in industry specific role.
  • Previous experience in facility operations, facility management, property management, workplace services, building maintenance, or a related field.
  • Strong customer service and interpersonal skills with the ability to interact professionally with employees, vendors, executives, and customer leadership.
  • Demonstrated ability to independently manage multiple priorities, service requests, vendors, and projects.
  • Proficiency with Microsoft Office applications.
  • Experience with work-order systems, facility management software, or AutoCAD is a plus.

Responsibilities

  • Serve as the primary on-site point of contact for facility, building, office, and workplace-related needs.
  • Perform routine walkthroughs of the facility to identify maintenance, safety, appearance, and operational concerns.
  • Coordinate and track building office requests through completion.
  • Respond to day-to-day facility issues and determine the appropriate internal or external resource for resolution.
  • Maintain a professional, organized, and customer-ready workplace environment.
  • Identify recurring facility issues and recommend corrective actions or improvements.
  • Maintain appropriate documentation, service records, project updates, and facility information.
  • Serve as a customer-facing representative provide a high level of responsiveness and professionalism.
  • Communicate regularly with employees, executive assistants, building occupants, and customer leadership regarding facility needs.
  • Take ownership of requests and provide follow-up through completion rather than simply routing issues to another department.
  • Support executive meetings, special events, visitors, and other high-priority workplace requirements as needed.
  • Coordinate subcontractors and service vendors performing work within the facility.
  • Assist with facility improvement projects, repairs, installations, and office modifications.
  • Coordinate furniture, equipment, and employee moves, additions, and changes.
  • Obtain information, pricing, and documentation needed to support facility projects and repairs.
  • Communicate project status, scheduling, issues, and completion to appropriate stakeholders.
  • Manage food, beverage, breakroom, and workplace supply inventory, ordering, and delivery.
  • Monitor inventory levels and ensure workplace supplies are consistently maintained.
  • Coordinate furniture and office equipment needs.
  • Coordinate with IT, A/V, security, property management, and other support teams when facility needs overlap with their areas of responsibility.
