Job summary

CBRE is seeking a Facilities Coordinator to work with clients, vendors, and contractors to ensure facility tasks and work orders are completed. The role supports vendor management, on-site escorting, reporting, invoices, purchase orders, and work orders, with a strong emphasis on Microsoft Office and CMMS experience.

Hours are Monday–Friday, 8:00–4:30, with potential on-call or overtime. A solid background check will be conducted as part of the hiring process.

Qualifications

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products (Word, Excel, Outlook).
  • Strong organizational skills with an inquisitive mindset.

Responsibilities

  • Work with landlords, tenants, and service providers to ensure procedures and reporting formats are followed.
  • Acknowledge client inquiries and collect work orders.
  • Collect information reports to determine performance and progress.
  • File work orders, proposals, and department files submitted by vendors.
  • Monitor activities outside the building, including waste disposal and recycling.
  • Follow instructions and ask clarifying questions as needed.
  • Respond to common inquiries or complaints from clients and coworkers.
  • Execute defined procedures and processes under supervision.

About The Role

As a CBRE Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete.

About The Role

As a CBRE Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete. This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans. This specific role will provide assistance with vendor management and facilitation, on site escorting, reports, Invoices, purchase orders and work orders. A strong skillset with Microsoft suite is critical for this role and previous work with a CMMS would prove to be helpful. Hours are Monday - Friday 8 - 4:30. (Occasional on-call or overtime could arise on occasion.)

  • There will be stringent background requirements for this role.
What You’ll Do
  • Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats.
  • Acknowledge all client inquiries and collect work orders.
  • Collect information reports to find out performance and progress status.
  • File work orders, proposals, department files, and other paperwork submitted by vendors.
  • Monitor activities that happen outside the building, such as proper waste disposal and recycling.
  • Follow instructions, short correspondence, and memos and ask clarifying questions.
  • Respond to common inquiries or complaints from clients, co-workers, and supervisors.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.
What You’ll Need
  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
