Facilities Supply Clerk

The Facilities supply clerk plays a key role in supporting the daily operations of the Facilities Department by managing contractor scheduling, coordinating onsite work, and overseeing supply purchasing. This position works directly for the Senior Manager of Facilities and in close coordination with the Lead Facility Technician to ensure maintenance, repairs, and projects are efficiently planned, communicated, and executed with minimal disruption to operations.
EssentialFunctions
- Coordinate and schedule contractors, service providers, and vendors for maintenance, repairs, inspections, and special projects
- Processpurchaserequestsandmaintaininventoryoffacilitiessupplies,tools,and consumables
- Trackandordermaterials,supplies,andpartstosupportdailyoperationsandplanned work
- Reconcilemonthlypurchasingcardtransactionsandreceiptsinaccordancewith organizational policies
- Assistwithbudgettracking,costcoding,anddataentryintofinancialsystems
- Maintainworkorderdocumentation,logs,andreports
- Supportclericaltasksincludingfiling,scanning,documentcontrol,anddepartmental correspondence
- Assistwithinvoiceprocessingandverificationofcompletedworkpriortopayment
- Safely operates OSC vehicle when picking up supplies offsite
- Maintains a valid Florida driver's license and acceptable driving record as stipulated by OSC’s insurance carrier
- Performs other related duties as assigned.
Minimum Qualifications
- Education:Highschooldiplomaorequivalent
- Experience & Certifications:2 years experience with purchasing and reconciliation
PreferredQualifications
- Experience scheduling contractors or coordinating facility-related work
- Demonstratedexperiencewithpurchasingcardreconciliationandfinancialtracking
- Strongorganizationalandcommunicationskills
- Proficiency with Microsoft Office
