Responsibilities
The Job At-A- Glance:
We are looking for a Facilities Operation Specialist to join our Campus Life & Style Family, who will report directly to the SVP of Facilities and Construction. This position is responsible for providing facilities technical, operational, and administrative support to all sites as assigned. Responsible for covering during the absence of a maintenance supervisor and managing onsite maintenance programs, manage turn cycle, assist with training and implementing new initiatives, established protocols, and compliance. Additionally, exercise financial prudence by assisting with the management of the property’s approved Maintenance and Capex budgets.
Candidates must be technically proficient and possess a thorough working knowledge of building and mechanical systems.
- Manage existing maintenance team when assigned to a site.
- Manage existing preventive maintenance programs.
- Train new maintenance supervisors as needed.
- Manage daily work order load and curb appeal.
- Manage Turn cycle as needed.
- Assist with managing vendors.
- Conduct asset evaluation inspections for capital planning
- Assist with implementing new initiatives.
- Provide first-class customer service and ensure all requests are managed promptly and professionally.
- Consistently maintain professional quality of workmanship, communication, personal appearance, organization, and reporting.
- Help manager achieve the highest possible net operating income (NOI) through the implementation of effective cost control; revenue improvement efforts (focusing on resident bill-backs, and other income items); and effective budget management.
- Ensure that property is clean, maintained, and safe for residents, prospects, employees, and visitors, including offices, communal areas, stairwells, exteriors, basements, grounds, and exteriors.
- Identify and react to potential situations which would cause liability to the property or management company.
- Analyze the physical state of properties and identify and implement ways to improve curb appeal.
- Conduct analysis of expenses on a regular basis to determine items and methods for expense cutting.
- Ensure all staff maintain the highest quality of workmanship or act promptly when needed.
- Always strive to instill excellent work ethics in maintenance staff and good company morale.
- Make sure staff completes all work orders in a timely, professional, and courteous manner, and clean up thoroughly before leaving the unit, or at the end of each work session.
- When completing work orders ensure all damage caused by a resident’s act or neglect is properly billed back to the resident. Collect proof, pictures, and documentation as needed.
- Work with the leasing office on scheduling service requests and other maintenance work to maximize resident satisfaction.
- Whenever possible, execute work and repairs “in-house” and find other ways to reduce the property’s expenses.
- Ensure maintenance vehicles and equipment are kept clean and maintained properly to maximize lifespan.
- Ensure all equipment and machinery is maintained in good condition. This includes domestic hot water heaters, boilers, furnaces, air conditioning units and pumps, storage tanks. Conduct routine maintenance and inspections.
- For any improvements made with outside contractors, set scope, get a minimum of three bids, review contracts with manager, submit for approval, and assist with paperwork.
- Ensure all necessary maintenance materials are on site as needed, organized, and inventoried. Plan ahead
- Always keep an organized and safe maintenance shop and storage areas
- Perform and record quarterly inspections, complete work in a timely manner, and ensure proper resident bill-backs.
- Manage a successful turn by scheduling and management of all maintenance staff and vendors (in cooperation with the property manager) including cleaners, painters, grounds people, and courtesy guards.
- Oversee and participate in a prompt and effective snow removal program as needed to ensure safety and minimize liability.
- Work with city as needed to obtain proper permits and licenses.
- For the safety of the community, ensure all exterior lighting is always functional and sufficient, oversee inspections.
- Set and adhere to realistic project deadlines and update Manager of progress.
- Assist management in creation of projects’ plans and budgets, manage maintenance budget on an ongoing basis.
- Ensure all code, legal, OSHA, and compliance statutes are followed.
- Maintain good resident relations and promptly inform property manager of any potential or existing problems. Communication with residents should always be cordial and professional.
- Communicate needs, ideas, and problems effectively with the Manager.
- Participate in company training classes and meetings as required; keep all necessary insurances and licenses up to date.
- Walk the properties daily to ensure that all physical aspects are always functional, safe, and maintained in an attractive condition to achieve maximum curb appeal.
Turn:
- Manage Turn cycle as needed.
- Manage a successful turn by scheduling and management of all maintenance staff and vendors (in cooperation with the property manager) including cleaners, painters, grounds people, and courtesy guards.
Experience/Job Qualifications
- A minimum of three continuous years of supervisory experience required or higher management experience.
- HVAC (EPA certification required- Type II minimum)
- Proficient working knowledge of basic building HVAC systems
- Proficient working knowledge of basic building electrical systems
- Proficient working knowledge of basic plumbing building systems
- Make Ready experience.
- Construction (sheetrock patch/texture/paint, flooring, carpentry)
- Groundskeeping/irrigation
- Contractor’s Scope generation
- Site project management
- Site Asset inspections

- A Bachelor’s degree; or 2-4 years’ experience in student housing with supervisory role/higher management; or equivalent combination of education and experience
- Ability to lead, inspire and motivate a dynamic team, while having a customer-centric mindset
- Ability to manage multiple projects simultaneously, set priorities and meet deadlines
- An entrepreneurial mindset-you're creative and will challenge the status quo to meet the needs of our residents and our company

Pay Range
