The Enterprise Services Manager Facility Manager manages the design, planning, construction maintenance and security of equipment, machinery, building and other facilities. S/he oversees the planning, and scheduling of facility operations, repair, and modifications. S/he oversees the coordination of building space allocation and layout. S/he obtains information as needed to ensure up to date management of all office services databases containing bank-wide information. The position requires contribution in development of site operating budgets, project construction budgets, construction schedules, cost analysis, and value engineering. S/he liaises between all lines of business (“LOB”) and department heads and Facilities Management within BBH. Interaction with senior partners and office managers is required. This job also includes direct management of third-party vendors including real estate brokers, project managers, architects, engineers and contractors.

Responsibilities:

Facility Management/Coordination

  • Represent the firm with the Building Management.
  • Represent the firm with sub tenant agreements and construction.
  • Coordinate construction and renovation projects.
  • Participate in lease negotiations and lease administration.
  • Manage project plans with architects, engineers, consultants, contractors, space planners, vendors, property managers and local code enforcement officers.
  • Manage bidding process with vendors, ensuring adherence to the firm's policies and standards.
  • Develop effective relationships to resolve issues.
  • Ensure clear communication of ongoing issues with the Facilities and broader ES mgmt.
  • Contribute in developing and maintaining overall site Facilities Budget.
  • Monitor expenses monthly and make recommendations for corrective action if necessary.
  • Regular travel to Jersey City office expected, travel to other regional offices may be required as needed.

Leadership

  • Supervise, coach, and lead staff including direct and indirect reports based in New York and Jersey City.
  • Contribute to firmwide best practice by working closely with global facilities managers across domestic US and global offices.
  • Interact with the firm’s most senior leaders on a regular basis; serve as a highly visible and approachable leader within the New York office.

Space Planning

  • Analyze space requirements based on current and proposed staffing levels.
  • Assess storage requirements (current/future).
  • Determine space needs for new and relocated equipment.
  • Develop and maintain automated floor plan/schematic.

Furniture and Fixture Layout

  • Represent Enterprise Services in determining reconfiguration of workspaces and additional furniture needs. Make recommendations as appropriate.
  • Work with the LOB Management to identify and install various signage and other workspace.
  • Develop and manage project plans sufficient to obtain budget pricing, sign contracts, and issue purchase orders.

Maintenance

  • Manage internal database for tracking/monitoring operations maintenance requests.
  • Develop and implement daily walk through punchlist for all housekeeping and maintenance issues.
  • Report all LOB issues to Facilities Management and follow up to ensure completion of requests.

Management Reporting

  • Participate as an active member of Enterprise Services Management team, Global Facilities, and interdepartmental committees and meetings as needed.
  • Capture, log and track new hire/termination/transfer data in conjunction with the Human Resources department.
  • Oversee accurate and timely collection of sustainability tracking information across multiple sites.
  • Analyze available data to bring insights and process improvements to Enterprise Services Management Team.

Qualifications:

  • 6+ years facilities management experience.
  • BA/BS degree or equivalent experience.
  • Deep knowledge of general facilities and project management. Experience managing project and construction teams, including employees and outside vendors.
  • Demonstrate effective team work skills, in both a leadership as well as collegial manner
  • Effective written and oral communication skills, particularly the ability to handle presentations of project plan and business cases.
  • Experience in business analysis and process improvement and a desire to use data to improve operational procedures.
  • Demonstrated ability to solve problems creatively, while at the same time relying on practical common sense.
  • Ability to anticipate potential problems and respond effectively.
  • Ability to motivate, develop and lead staff in a dynamic environment.
  • Working knowledge of electrical infrastructure, and HVAC.
  • Knowledge of Facilities Management software programs a plus; i.e. Office Space, AutoCAD, Visio.
  • Willingness to be available at times outside of standard business hours and on weekends for specific work planned in advance, and unforeseen emergency facility issues that may arise.
  • Based in NY, expectation for 5 days per week in office. Day-to-day responsibility for NY, Jersey City, and providing support to smaller regional offices as needs arise.

Salary Range

$125,000 to $150,000 base salary plus annual bonus target
