The Facilities Manager is responsible for overseeing the maintenance, operation, and management of our physical facilities. This role involves ensuring that buildings and their services meet the needs of the organization and its employees.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited, to the following:

  • Provides administration of all lease agreements and is the key contact.

  • Reviews occupancy requirements, identifies space needs and works closely with HR and the COO on all space planning

  • Coordinates with all stakeholders all related charges

  • Administers all building service contracts

  • Coordinates move with internal departments and outside vendors to ensure a smooth transition with minimal workflow disruptions

  • Coordinates office repairs and maintenance, leasehold improvements, furniture, fixture and equipment purchases or disposals, including communications

  • Responsible for maintaining the office environment, including oversight of cleaning, hoteling space equipment and supplies and common areas.

  • Manage facility needs such as mail services, repairing or installing furniture and ergonomic equipment, storage areas and leased equipment maintenance.

  • Communicate and coordinate vendor services to include coffee and beverages supplies, postage, courier and shipping needs and external printing.

  • Maintenance of AED devices and safety equipment

  • Reintroduce facilities email through ZenDesk

  • Manage shred bins vendor

  • Coordinates office supply vendors and purchase orders with the purpose of cost control and consistency across the organization.

  • Coordinates with the Business Resiliency Management group to maintain emergency evacuation plans and team rosters in order to reviews individual and team responsibilities and evacuation procedures.

REQUIRED EDUCATION AND EXPERIENCE:

  • High School diploma or GED

  • 2+ years’ experience in facilities management

  • Proficient in the use of MS Office (Word, Excel, Outlook), Windows, the Internet and online shipping applications such as UPS, Postal Service, FEDEX, DHL.

  • Ability to assess contract compliance and product/service quality, organize resources and establish priorities as well as develop, and implement short- and long-range goals.

  • Other working conditions are normal for an office environment.

WORK LOCATION

  • Work is performed on-site at our Conshohocken, PA, office.
