Job Title: Facilities Management Specialist II
Location: Remote with occasional on-site meetings (3100 East 5th Street, Suite 150)
Work Schedule: First Shift, Monday – Friday, 8:00 AM to 5:00 PM
Type: Full-time Contract
Note: Revit Software experience is required.
Job Summary:
The Facilities Management Specialist II supports the Facilities Management Team, reporting directly to the Technical Program/Project Manager III. This role will focus on maintaining facilities systems (not developing them), managing small department-specific projects, coordinating staff moves, furniture procurement, and supporting space planning efforts.
Primary Responsibilities:
- Triage and manage facility work requests via Computerized Maintenance Management System (CMMS).
- Coordinate furniture purchases, placement, and staff relocations.
- Facilitate administrative space planning tasks and maintain space utilization data.
- Support ongoing use and management of:
- Building Information Modeling (BIM)
- Computerized Maintenance Management System (CMMS)
- Electronic Document Management System (EDMS)
- Integrated Workplace Management System (IWMS)
- Manage small projects (e.g., signage, lactation rooms, plants, wall hangings).
- Assist with contracts for maintenance of non-union maintained facilities.
Minimum Qualifications:
Education & Experience:
- Bachelor’s degree in Architecture or Interior Design (with ability to become registered in the field).
- At least 1 year of experience in a Facilities, Architecture, or Interior Design environment.
- Preferred experience with private facility owners.
Technical Skills:
- Proficient in Revit, Microsoft Excel, Word, PowerPoint, Project, and Outlook.
- Familiar with project management tools and techniques.
Soft Skills:
- Detail-oriented and highly organized.
- Excellent customer service and interpersonal abilities.
- Ability to work independently and manage multiple tasks under deadlines.
- Professionalism in interacting with stakeholders, vendors, and contractors.
- Understanding of project budget and contract management.
- Strong problem-solving and decision-making skills.
- Flexibility to adapt in a dynamic work environment.
