Job summary

The Rector & Visitors of the University of Virginia is seeking a Facilities Services Coordinator to support the University’s goals by acting as a data steward within the IWMS/AiM system. The role focuses on accurate data maintenance across a large facilities portfolio and requires clear communication with maintenance staff.

The position emphasizes data quality, coordination with multiple systems (AiM, Workday, Tableau), and on-site work in Charlottesville, VA.

Qualifications

• Education: High School Diploma or equivalent required.
• 1+ years of relevant experience required.

Responsibilities

• Receives, classifies, and enters service requests in AiM, applying UVA property ID structure and accounts to initiate accurate data operations.
• Maintains work order and asset records in AiM in compliance with regulatory requirements and FM data standards.
• Reviews and resolves stalled, misclassified, or incomplete work orders, and investigates open purchase orders in AiM, Workday, and Tableau to identify trends and priorities.
• Serves as data liaison to FM maintenance and trades staff, communicating work order status, discrepancies, and priorities.
• Coordinates facilities operations data entry and manages real-time communications via AiM, VEOCI, and Microsoft Teams during emergencies.
