Job summary

NAI Hallmark in Jacksonville seeks a collaborative Facilities Coordinator to support a facilities management team for over 160,000 sq ft of retail and corporate office space. You will manage vendor coordination, assist with emergency preparedness, and ensure timely work order closures.

Responsibilities include administering Building Engines, coordinating with engineers across 22 locations, and handling vendor communications. A degree and 2–4 years of related experience are required.

Qualifications

• Associate degree or equivalent.
• 2-4 years of related experience required, with project management experience preferred.
• Proven experience working with executives and senior managers.
• Ability to determine and set priorities.
• Excellent analytical and decision-making skills to make appropriate decisions when solving critical problems and accomplishing objectives.
• Excellent PC software skills for analysis, audit, reports, and presentations with proficiency in Microsoft Office programs.
• Ability to be influential and establish positive working relationships across the organization.

Responsibilities

• Provide onsite facilities support for a 3-story, 55,000 sq ft Corporate Headquarters building, 8:00 am–5:00 pm, Monday–Friday.
• Coordinate with Lead Engineer to address inquiries and complete work orders across multiple locations.
• Administer Building Engines work order system for PMs and work orders, updating end users and management reports.
• Create and maintain vendor contracts and assist in invoicing and reporting.
