Job Description Summary

The Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. Directly supports the facility management team with ongoing facility and team-related responsibilities.

Key Responsibilities
  1. Provide general facility management services, including monitoring office/facility operations.
  2. Address client inquiries, resolve issues promptly, and ensure high-quality service delivery.
  3. Follow up with clients to ensure satisfaction.
  4. Respond to facility inquiries and complaints, assess problems, and take corrective actions.
  5. Maintain knowledge of building systems and coordinate with contractors for repairs and maintenance.
  6. Assist with site inspections and create work orders for maintenance tasks.
  7. Manage vendor performance, process invoices, and oversee complex work orders.
  8. Communicate regularly with clients, landlords, and vendors regarding project updates and issues.
  9. Train new staff and coordinate special events.
  10. Monitor KPIs against service level agreements and provide helpdesk services for facilities issues.

Qualifications
  • High school diploma or GED required; associate's or bachelor's degree preferred.

  • Knowledge of lease terms, management agreements, and basic building systems.
  • Proficiency in Microsoft Office Suite.
  • Flexibility to work on-call, including nights, weekends, and travel.
Work Environment & Physical Demands

This role operates in a professional office environment, requiring regular use of office equipment, communication, and physical movement. Employees must be able to remain stationary for long periods and operate necessary tools and systems.
