Job summary

The Depository Trust & Clearing Corporation (DTCC) is searching for a Facilities Coordinator in Jersey City, New Jersey. In this role, you will manage day-to-day facility operations, oversee maintenance of critical systems, and supervise outsourced staff. The ideal candidate has at least 2 years of relevant experience and a degree in Electrical or Mechanical Engineering.

Your responsibilities include managing building systems, monitoring budgets, and ensuring health and safety standards are met while being physically present in the office five days a week. This position is crucial for maintaining DTCC’s facility standards and supporting employee well-being.

Responsibilities

• Oversees the operations, maintenance and testing of building plumbing, HVAC, electrical and fire systems.
• Supervise cleaning staff and execute quality control.
• Create and track Purchase Orders and budget spending.
• Monitor building monitoring systems and alarms.
• Assist in facilities process improvements.
• Supports Health & Safety and workplace risk assessments.
• Oversee amenities and support office services.
• Provide 24/7 emergency response relating to facilities.
• Support vendor project construction work as needed.
• Align risk and control processes in operations.
• Maintain ISO certifications for environmental and energy.
• Manage space planning and relocations.

Skills

Ability to read architectural and engineering building drawings

Proficiency with AutoCAD

Excellent communication and written skills

Client focus

Ability to use Microsoft Word, Excel, PowerPoint and Visio

Experience with SNOW/Nuvolo Work Order System

Strong vendor relationship management skills

Education

The Impact You Will Have In This Role

This Facilities Coordinator is responsible for managing the coordination of day‑to‑day facility operations, furniture, fixture and equipment (FFE) repairs and maintenance in the designated office and is expected to be physically present in the office five days per week aside from leave. The position also oversees outsourced facility operations staff.

Your Primary Responsibilities

• Oversees the operations, maintenance and testing of building plumbing, UPS, HVAC, emergency generators, electrical and fire detection/suppression systems
• Supervise cleaning staff, including execution of quality control processes
• Create and track Purchase Orders and compare actual spend versus available budget
• Monitor the site’s building monitoring systems and alarms
• Assist and coordinate aesthetic and facilities process improvements
• Supports Health & Safety, including workplace risk assessments, water testing, and air quality testing
• Oversee amenities such as coffee, vending, parking, and event support
• Support office services group’s mail, shipping and receiving activities
• Provide 24/7 response to emergency situations relating to employees and/or facilities
• Support weekend vendor project construction work as needed, typically limited to no more than one time per month
• Align risk and control processes into day‑to‑day responsibilities to monitor and mitigate risk; escalates appropriately
• Perform the duties of the site’s Environmental and Energy Team maintaining DTCC’s ISO 50001 and 14001 certifications
• Support space planning team and manage moves/relocations

Qualifications

• Minimum of 2 years of related experience
• Bachelor's degree in Electrical or Mechanical Engineering preferred or equivalent experience
