Qualifications

  • 3+ years of experience in facilities, building operations, or a related role.
  • Experience supporting vendor management and workplace projects.
  • Experience performing hands-on workplace support, including furniture assembly, artwork installation, workstation moves, and basic facility repairs.
  • Familiarity with workplace safety standards and basic building systems, including HVAC, lighting, electrical, and plumbing issues.
  • Strong customer service, communication, and interpersonal skills.
  • Strong organizational and problem-solving skills with the ability to manage multiple responsibilities and follow through on solutions.
  • Self-starter who learns quickly, exercises sound judgment, and remains calm under pressure.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in Microsoft Office (Outlook, Excel, Word).
  • Ability to perform physical tasks, including moving furniture, assembling office equipment, and lifting up to 50 pounds.
  • Flexibility to work overtime and weekends as business needs require.

Responsibilities

  • Conduct daily building inspections to ensure the facility is clean, safe, organized, and operating efficiently.
  • Maintain compliance with OSHA and fire safety standards by ensuring workspaces remain hazard-free and well-maintained.
  • Coordinate and track facility work orders from initiation through completion, researching, resolving, and escalating issues as needed.
  • Coordinate with vendors and contractors supporting workplace operations and facility projects.
  • Maintain vendor records, service contracts, and project documentation.
  • Process invoices accurately, route them for approval, and maintain financial records.
  • Set up and break down meetings, company events, and special functions, including arranging tables, chairs, heat lamps, and other equipment.
  • Respond promptly to employee requests, questions, and workplace concerns.
  • Support office relocations, departmental moves, renovations, and workplace reconfigurations.
  • Prepare workstations for new hires by coordinating furniture, equipment, and office supplies.
  • Perform basic facility repairs and hands-on workplace support, including furniture assembly, hanging artwork, workstation moves, repairing desks and chairs, and lifting or unloading supplies.
  • Identify opportunities for process improvements and proactively report facility deficiencies.

UTA seeks a Facilities Coordinator to support daily facility operations and create a safe, efficient, and welcoming workplace experience. This customer-facing role supports workplace operations through vendor coordination, office moves, event support, facility maintenance, and hands-on workplace projects. The ideal candidate is service-oriented, proactive, and thrives in a fast-paced environment. This position is based in Beverly Hills, California.

The salary range for this role is $28 - $31/hr, commensurate with experience and skills.

What You Will Do
