General Overview

The Facilities Assistant will primarily be responsible for supporting the upkeep and daily functionality of Heirloom’s properties in the Austin market. This position involves a variety of physical tasks, including moving and setting up furniture, stocking supplies, performing basic repairs, and assisting with deliveries. While not a skilled maintenance technician role, the Facilities Assistant will handle basic maintenance duties and lend a hand wherever needed to keep the properties up to brand standard.

Essential Functions

  1. Perform simple repairs (e.g., changing light bulbs, fixing minor leaks, unclogging sinks) and report more complex issues to the Facilities Manager.
  2. Collaborate with Maintenance Technician to support essential home repairs.
  3. Move, set up, and break down furniture and equipment for meetings, events, and office reconfigurations.
  4. Maintain cleanliness in outdoor areas, including leaf removal, pool skimming, and trash removal.
  5. Restock restroom and office supplies, monitor inventory levels, and inform management when items need to be ordered.
  6. Accept deliveries, transport packages between properties and warehouses, and assist with outgoing shipments as needed.
  7. Monitor waste and recycling bins, dispose of waste materials appropriately, and keep waste areas clean and orderly.
  8. Assist in overseeing technicians when professional repairs are necessary.
  9. Report any needed repairs, low stock items, and facilities maintenance needs in a timely fashion.
  10. Assist with new property installations on an as-needed basis (hang and mount art, decor, window treatments, mirrors, light fixtures, etc.).
  11. Stock and maintain the company tool kit.
  12. Assume emergency on-call duty when assigned.
  13. Special projects, as assigned.

Requirements

  2. Lives in close or commutable proximity to Austin (within 30 minutes).
  3. Prior experience with basic carpentry: feels comfortable repairing a broken bed support beam, can build a basic floating shelf, can repair a screen door.
  4. 1-2 years prior experience with basic facilities maintenance: can perform non-specialized tasks and knows when a professional should be called.
  5. Able to comfortably lift 50lbs and climb a ladder.
  6. Bilingual (English/Spanish) is a big plus, but not a firm requirement.
  7. Any kind of maintenance experience is a plus, but not a firm requirement.
