Export Logistics Coordinator
Reports To: International Logistics Manager
The Export Logistics Coordinator is responsible for coordinating daily export transportation activities from farm locations to port while ensuring containers move efficiently and on schedule.
This role serves as the primary point of contact for trucking companies, terminals, dispatchers, and farm personnel to ensure export shipments remain on track. The position requires strong organizational skills, proactive communication, and the ability to quickly resolve transportation and scheduling challenges in a fast-paced environment.
The Export Logistics Coordinator also supports export documentation workflows, participates in continuous process improvement initiatives, and cross‑trains within the export department to strengthen operational coverage.
Transportation & Scheduling
- Create and maintain weekly export shipping schedules.
- Adjust schedules based on vessel changes, equipment availability, weather, and operational delays.
- Coordinate daily container pickups and deliveries.
- Monitor ERDs, vessel cutoffs, terminal closures, and schedule changes.
- Ensure containers are pulled and delivered according to export schedules.
- Track container movements from terminal through vessel departure.
Carrier & Driver Coordination
- Serve as the primary contact for trucking companies and dispatchers.
- Maintain frequent communication with drivers throughout the day.
- Coordinate load appointments with farm personnel.
- Assist with identifying and onboarding new trucking providers.
- Research trucking capacity and rates as requested.
Terminal & Steamship Line Coordination
- Communicate with terminals regarding equipment availability, late gate requests, cutoff changes, congestion, and operational issues.
- Coordinate with steamship lines to resolve transportation issues impacting export schedules.
Export Operations Support
- Create and finalize transportation-related information in NetSuite.
- Enter container numbers, seal numbers, shipment weights, and other final load information into NetSuite.
- Share final load information with the Export Documentation team to support Bills of Lading and export documentation.
- Monitor shipment status and communicate delays to internal teams.
Documentation Support
- Organize Bills of Lading using Adobe Acrobat.
- Complete passings (Sales Orders) within department timelines.
- Support documentation workflow during slower operational periods.
- Maintain organized shipment records.
Communication & Collaboration
- Communicate proactively with farm personnel, trucking companies, dispatchers, steamship lines, terminal operators, the Export Documentation team, and management.
- Escalate operational risks before they impact shipments.
- Maintain excellent customer service with both internal and external partners.
Process Improvement
- Identify opportunities to improve scheduling and logistics processes.
- Create and maintain Standard Operating Procedures (SOPs).
- Participate in cross‑training across the export department.
- Support workflow automation and operational improvement initiatives.
Preferred Qualifications
- 2-3 years of experience in logistics, transportation, agriculture, supply chain, or dispatching.
- Experience coordinating containerized freight or transportation schedules.
- Experience communicating with trucking companies and drivers.
- Strong organizational and multitasking skills.
- Intermediate to advanced Microsoft Excel skills.
- Experience with ERP systems (NetSuite preferred).
- Ability to work in a fast‑paced, deadline‑driven environment.
