Job summary

Success Academy Charter Schools in New York City is seeking an Experiential Events Coordinator to join the Creative Agency and drive event logistics and execution across a diverse portfolio of company events.

You will manage on-site setup and tear-down, coordinate vendors, and ensure costs stay within the approved budgets while delivering high-quality experiences for students, families, and staff.

Qualifications

• Proven experience in event management, coordination, or logistics in a fast-paced environment.
• Demonstrated excellence in managing complex logistics for multiple concurrent events of varying sizes.
• Exceptional attention to detail and commitment to quality output.
• Proactive problem-solving mindset and ability to think critically and decisively under pressure.
• Speed and efficiency in delivery with ability to meet tight deadlines.
• Excellent communication and collaboration skills to work with vendors and internal teams.
• Familiarity with the NYC venue landscape is a plus.

Responsibilities

• Event Logistics & Execution - Independently manage and execute the logistics for a high volume of events, varying in scale, complexity, and audience.
• Planning & Resource Management - Utilize planning resources and NYC venues database to inform planning.
• Stakeholder & Vendor Management - Serve as point of contact for external vendors and liaise with internal cross-functional teams.
• On-Site Management - Support on-site setup and tear-down activities, managing vendors.
• Financial Administration & Tracking - Manage event-related expenses, process invoices, and reconcile vendor costs.
