Job Title: Experiential Coordinator (Full Time) – Los Angeles, CA
Responsibilities
- Support the Experiential Manager in responding to briefs and RFPs, developing strategic and production‑savvy proposals that drive successful outcomes.
- Collaborate with the Creative team to develop innovative concepts and compelling event narratives.
- Stay informed on industry trends, innovations, and standout venues across the US, leveraging these insights to enhance our service offerings and differentiate our events from competitors.
- Collaborate with the Experiential Director and Manager to define the best format of events for clients.
- Identify new business opportunities and contribute to pitch presentations and proposals.
- Collaborate with the Experiential Director and Manager to expand the agency's client base and market presence.
- Maintain our client database and profiles for personal engagement and gifting.
- Communicate effectively with existing and prospective clients to share our approach, services, value, brand reputation, ideas, and capabilities.
- Work with the Experiential Manager on incoming leads and opportunities.
- Support pitch teams, working closely with creative, strategy, and tech to develop winning and cost‑effective pitches.
- Ensure brand tone and consistency in all client communications.
- Provide confident presentation and verbal communication skills.
- Lead new RFP kick‑off administration by adding projects to overview board, generating project codes, initiating folders and Slack channels.
- Oversee the downloading and filing of all client supporting documents.
- Research and update RFP presentations with venues, vendors, sourcing, renders, and schedules as needed.
- Support Experiential Manager in the creation of budget estimates and brand template data entry.
- Maintain client communications and updates as needed.
- Schedule RFP intake calls and presentation times, internal team meetings, take meeting notes and assist with distributing recaps.
- Ensure consistent document version control and organized file management.

- Willingness to travel domestically and occasionally internationally.
