Job summary

MCI USA is seeking an Exhibits Manager to plan, execute, and manage exhibition programs for association clients. You will oversee logistics, vendor coordination, and budget adherence to meet client objectives and company standards.

Role involves remote work flexibility (#LI-Remote) and travel up to 20%. A Bachelor’s degree is preferred and CMP/CEM are valued; Map Your Show experience is a plus.

Qualifications

  • Bachelor’s degree preferred but not required.
  • CMP or CEM preferred.
  • 2–3 years of exhibit management experience.
  • Experience in association market and multi-client environment preferred.
  • Experience with Map Your Show is a plus.

Responsibilities

  • Comprehensive exhibit hall management, including floorplan design and layout; manage show decorator for signage and structures.
  • Serve as exhibitor and sponsor point of contact; respond to inquiries promptly.
  • Draft and send pre-event communications to exhibitors and sponsors.
  • Manage the exhibit management tool Map Your Show day to day.
  • Collaborate with GSC to develop Exhibitor Kit.
  • Coordinate with Exhibit/Sponsorship sales team to fulfill benefits and track deliverables.
  • Source sponsored items such as tote bags and lanyards.
  • Monitor budgets; provide pre-event estimates and post-event billing accuracy.
  • Negotiate vendor contracts to meet MCI standards.
  • Other duties as assigned.

JOB OBJECTIVE

The Exhibits Manager is responsible for the planning, execution, and management of exhibition and sponsorship programs for association clients. This role oversees exhibitor and sponsor operations, exhibit hall logistics, vendor coordination, event technology, budgeting, and client support to ensure successful event experiences that meet client objectives and MCI USA service standards. #LI-Remote

COMPENSATION:

$70,000-75,000 annually, based on relevant experience and skills.

MAIN RESPONSIBILITIES
  • Comprehensive exhibit hall management, including floorplan design and layout, understanding of general rules and regulations, management of show decorator for all signage and structures.
  • Serve as exhibitor and sponsor point of contact, respond to inquiries in timely fashion
  • Draft and send pre-event communications to exhibitors and sponsors
  • Management of and day to day work withing the exhibit management tool, Map Your Show
  • Work with GSC to develop Exhibitor Kit
  • Work with Exhibit/Sponsorship sales team to manage fulfillment of benefits. Responsible to draft, maintain and manage the deliverables tracking grid
  • Source sponsored items such as tote bags, lanyards, and other various items
  • Evaluate and maintain event budgets against pre-set spending limits. Provide clients with accurate budget estimates pre-event and ensure post-event billing reflects these estimates.
  • Negotiate GSC and other vendor contracts that pertain to the exhibit hall, meeting MCI standards for each client event.

JOB REQUIREMENTS
  • Bachelor’s degree preferred but not required
  • CMP or CEM preferred
  • 2-3 years of progressively responsible exhibit management experience
  • Experience in association market and multi-client environment preferred
  • Experience working in Map Your Show, a plus

SPECIFIC TECHNICAL SKILLS
  • Experience with Map Your Show or similar exhibit management software preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Experience managing exhibitor, sponsor, and event‑related data and reporting.
  • Familiarity with event management and registration platforms preferred.
ADDITIONAL REQUIREMENTS

Travel: Approximately 20%, chiefly 4-5 day blocks of time
