Job summary

Mythical Entertainment in Burbank is seeking an Executive & Talent Coordinator to support the SVP of Content, the VP of Programming for Good Mythical Morning, and the Executive Director of Culinary Content. This role also oversees guest talent coordination across all Mythical.

You will manage complex calendars, track production schedules in monday.com, coordinate live events and branded integrations, and serve as a hub for production updates across teams.

Qualifications

  • At least 2 years as an assistant supporting VP-level or above Executive or Producer in a production environment.
  • Ability to handle a very active desk supporting several simultaneous productions.
  • Thorough understanding of the pre-production, production, and post-production processes.
  • Experience working in a talent-facing role, with discretion, responsiveness, and professionalism.
  • Ability to manage multiple projects simultaneously while remaining organized and detail-oriented.
  • Excellent work ethic and a positive, can-do attitude.
  • Strong written and verbal communication skills.
  • Thorough understanding of Google Suite apps and being tech savvy.

Responsibilities

  • Manage complex calendars including scheduling meetings both internal and external.
  • Monitor and ensure production calendar and boards are up to date with shoot dates and numbers.
  • Coordinate special projects, including live events, marketing plans, charity streams, and branded integrations.
  • Communicate production and creative updates company wide.
  • Support senior leaders by integrating into production processes and anticipating workflow needs.
  • Coordinate talent, vetting, travel, rider releases, and PR coordination for press.
  • Update talent release trackers with executed agreements and flag exclusions.
  • Control the master schedule tracking production deadlines across projects.
  • Handle administrative and financial duties, including expense reports and file management.
  • Gather production data relating to vendors, crew, and equipment.
  • Perform research projects for GMM and Mythical Kitchen channels.
  • Ensure shoot weeks and schedules are up to date on the Master Calendar.
  • Assist the Office Manager with general office support and front desk tasks.
  • Maintain gifting inventory and assist other departments on projects.

Salary: $25 - $27/hr

Overview: The Executive & Talent Coordinator will provide support to the SVP of Content, the VP of Programming for Good Mythical Morning, and the Executive Director of Culinary Content. This role also oversees guest talent coordination across all of Mythical.

Responsibilities:
  • Manage complex calendars including scheduling meetings both internal and external.
  • Monitor and ensure that the Mythical production calendar and corresponding monday.com boards are up to date with current shoot dates, air dates, and production numbers.
  • Help coordinate special projects, including but not limited to, live events, marketing plans, charity streams, branded integrations, and more.
  • Communicate production and creative updates company wide.
  • Support the SVP of Content, Showrunner, and Executive Director of Culinary Content by fully integrating into the various Mythical production processes and using said information to anticipate their workflow needs.
  • Coordinate talent for Mythical Kitchen and GMM, including but not limited to, vetting, gathering information from the guest and/or reps ahead of the shoot, booking travel, answering any questions, getting the rider/release signed, coordinating with PR team for press releases, sending a final confirmation sheet, being point of contact for talent, preparing green room, welcoming guests, communicating with producers, making gift bags and other special requests.
  • Update all talent release trackers with fully executed agreements, flagging any exclusions or adjustments that may impact the marketing of corresponding content
  • Control the master schedule that tracks production deadlines across multiple projects and is utilized company-wide.
  • Handle administrative and financial duties, including but not limited to, processing expense reports, submitting check requests, and file management.
  • Gather and track various production-related data related to vendors, crew, and equipment.
  • Execute various research projects for both GMM & Mythical Kitchen channels, ensuring the information gathered is accurate and presented in a digestible format.
  • Ensure all shoot weeks and corresponding schedules are always up to date on the Master Google Calendar
  • Assist the Office Manager with general office support such as answering phones and monitoring the front/back door as needed.
  • Assist other departments on special projects and coverage as needed.
  • Maintain gifting inventory for company use, reorder and track
  • Take notes for the writers room including New Slate rollouts, Art Meetings, Culinary Meetings, and Pitch meetings.

  • Thorough understanding of the pre-production, production, and post-production processes.
  • Experience working in a talent-facing role, with an understanding of the discretion, responsiveness, and professionalism required
  • Ability to manage multiple projects simultaneously while remaining highly organized and detail-oriented.

  • Strong written and verbal communication skills.
  • Thorough understanding of Google Suite of apps (Drive, Docs, Sheets, Slides, G-Mail, Forms and Calendar), as well as being overall tech savvy.
