MGT Insurance, a fast-growing AI-driven neo-insurer, seeks an operationally oriented Executive Assistant to support the CEOs and own the work that keeps our offices running in San Francisco, Madison, and Denver.

You’ll manage complex calendars, travel, expenses, and meeting logistics, coordinate facilities, vendors, and IT, and partner with the Head of People on onboarding, communications, and employee programs—driving an exceptional employee experience in a dynamic startup.

Qualifications

  • Experience supporting senior executives with complex scheduling.

  • A systems-thinking approach: understand broader goals and dependencies.
  • Comfort coordinating employee technology needs with vendors and IT partners.

Responsibilities

MGT is building an AI-first insurance company. We're looking for a resourceful, hands-on operator to support our leaders and own the work that keeps our offices running and our employee experience strong.

Executive support is a central responsibility, with direct ownership of both CEOs' calendars, travel, and meeting logistics. You'll also partner with the Head of People on workplace operations, employee-facing IT, People initiatives, and support other leaders as needed.

You see the bigger picture, anticipate what's needed, and turn direction into action. You enjoy a fast-paced startup and roll up your sleeves wherever you can help, from improving a process to unpacking office supplies.

What you'll do

Support our leaders: Manage complex calendars, travel, expenses, and meeting logistics for both CEOs, with additional support for other leaders as needed. Anticipate needs, navigate shifting priorities, and handle confidential information with discretion.

Own workplace operations: Keep our San Francisco, Madison, and Denver offices running smoothly, managing facilities, vendors, supplies, budgets, and everyday employee needs.

Create a great employee experience: Plan events, offsites, celebrations, and recognition activities; manage our swag store; and make our workplaces welcoming and productive.

Coordinate employee IT: Own equipment ordering, setup, inventory, and returns; coordinate access and troubleshooting with IT partners; and follow requests through resolution.

Support the People team: Help with onboarding and offboarding, employee communications, questions, and program logistics in partnership with the Head of People.

Think ahead and improve how we work: Connect the dots across leaders, teams, and offices, anticipate needs, and address underlying issues. Build repeatable solutions using AI and automation, and take ownership of new projects and unexpected needs as the business evolves.

What you bring

Experience supporting senior executives, including complex scheduling, travel, and confidential matters.

Experience in workplace operations, office management, or employee experience within a fast-paced startup or another environment with frequently changing priorities.

Strong organization, judgment, communication, and follow-through.

A systems-thinking approach: you understand the broader goal, spot dependencies and gaps, and turn incomplete direction into thoughtful action.

Comfort coordinating employee technology needs and working with vendors and technical partners.

Practical experience with AI and workplace tools, and curiosity about better ways to work.

A service mindset and flexible approach: you take ownership, handle the details, and step in wherever help is needed.

Location & compensation

This individual contributor role reports to the Head of People and is based in our San Francisco office five days per week, with occasional travel to our Madison and Denver offices. The annual base salary range is $120,000 - $160,000 , with compensation determined by relevant experience, skills, and qualifications.
