Job summary

Lucid Motors in Newark, CA is seeking an Executive Recruitment Coordinator to manage executive interview schedules, travel logistics, and high-touch candidate experiences in a fast-paced environment.

You will coordinate multi-time-zone itineraries, security access, catering, and accommodations, while safeguarding confidential information and partnering with recruiters, HR, finance, and external search firms to ensure flawless execution of searches.

Qualifications

• Bachelor's degree preferred.
• 4+ years of recruiting, executive recruiting operations, or complex scheduling/coordinator experience supporting multiple time zones and locations.
• Proven ability to handle confidential and highly sensitive information with discretion.
• Excellent verbal and written communication with stakeholders at all levels, including executives.

Responsibilities

• Build and manage complex interview schedules across senior executives, executive assistants, multiple time zones, and office locations, proactively resolving conflicts.
• Create and execute detailed executive interview itineraries, coordinating meeting rooms, interview hosts, security access, catering, technology, transportation, and candidate transitions.
• Coordinate all candidate travel logistics, including air, hotel, ground transportation, and special accommodations.
• Guide candidates through travel and reimbursement processes, ensuring timely collection of receipts, approvals, invoices, and expense submissions.
• Serve as a trusted point of contact for executive candidates, delivering proactive communication and a high-touch experience.
• Partner with Executive Recruiters, C-suite leaders, HR, Finance, Travel, and external search firms to ensure seamless execution of searches.
• Maintain accurate records, search trackers, interview materials, candidate documentation, and follow-up actions.
