Job summary

Museum of the Bible is seeking an Executive Manager-Operations to serve as an administrative and strategic partner to the COO. You will manage priorities, oversee key projects, and coordinate cross-functional communications to maximize the Operations Department’s effectiveness.

Qualifications

  • Education: Bachelor’s degree preferred, or HS Diploma/GED-equivalent with corresponding experience.
  • Knowledge: At least 2 years of experience as an executive assistant to a C-Suite leader or in project management, handling all aspects of administrative work, including email/calendar management, expense reporting, and dynamic travel arrangements
  • Skills / Core Competencies: MS Office, project management platforms, and spreadsheets; strong communication; organizational skills; confidentiality.
  • Abilities / Attributes: Highly detailed, confidential, multi-tasker, travel as needed, willingness to work nights/weekends.

Responsibilities

  • Administrative Support: Act as “right hand” to the COO, anticipating needs and managing emails, calendar, travel, and expense reports.
  • Contract Reviewing: Conduct initial administrative reviews of contracts, vendor agreements, and related documents for executive review.
  • Budget monitoring: Track expenditures, maintain financial records, and ensure projects stay within allocations.
  • Meetings Management: Manage COO schedule, coordinate meetings, and prepare materials with follow‑ups.
  • Logistics: Book and coordinate travel for external partners for Museum‑sponsored activities.
  • Leadership Support: Advise and assist the COO on priorities and cross‑functional alignment.
  • Communication & Liaison: Facilitate internal/external messaging and information flow.
